Context of Job:

The Visits and Events Experience team in the Office of Undergraduate Admissions, is responsible for planning and executing all visit programs to recruit diverse and talented students to the University of Delaware. The Visit and Events unit facilitates campus tours and admissions event opportunities for over 50,000 prospective and admitted students, family members, and school and independent counselors; collaborates with campus partners to host academic program specific engagement opportunities; along with various other programming for on-campus, off-campus, and virtual recruitment.

The Assistant Director of Admissions manages the full scope of logistics for on- and off-campus admissions events, including room reservations, vendor coordination, academic college and special interest session scheduling, agenda development, and Slate/CRM setup. Serving as the primary liaison with colleges, campus partners, and external stakeholders, it facilitates seamless collaboration to deliver high-quality open houses, receptions, and specialized recruitment programs. This role supports programming for a diverse group of learners: rural students, first generation students, transfer students, and underrepresented students, as well as high school and community college students
 
Major Responsibilities:
  • Oversee the logistics for all 30+ admissions events, including venue reservations, classroom assignments, housing accommodations, contract negotiations, A/V, facilities and movers needs, community and athletic discounts for guests.
  • Establish a yearly calendar of dates and times for optimal on and off campus events, including prospective and admitted open houses, regional admitted student receptions, transfer open house, Flex Pathways events and additional programs as we increase associate offerings
  • Serve as a point of contact for student life, and academic support departments participating in workshop sessions and resource fairs for all events, including Blue and Golden, Admitted Student Days, counselor events, regional receptions, Destination Delaware, and Flex Pathways open houses.
  • Develop meetings and training materials for staff, students, alumni, campus partners, and volunteers involved with each event.
  • Manage the Slate/CRM requirements for each event, including building the event, registration form, survey and landing pages.
    • In collaboration with the Marketing and Communications Team, develop an annual marketing and communications plan for admissions events. Request and review printed materials, web edits, registration communications, digital slides, and all items for events.
  • Analyze survey responses and programming trends to continually enhance and strengthen the University of Delaware visitor experience.
  • Responsible for admissions, including but not limited to file review, light travel for recruitment event purposes, participation in on-campus or virtual events and programming, and in-office duties.
  • Meet with students visiting the University Visitors Center to provide guidance regarding educational opportunities and options, admission and other requirements, policies and procedures, transfer of credit, and financial assistance, as appropriate.
  • Partner with the Assistant Directors of Visit Experience to advance the Blue Hen Ambassador program through daily operations, annual review of the student employee manual, and training development for new and returning ambassadors.
  • Serve as a member of the Admissions Committee, review credentials, and make recommendations for admission decisions.
  • Represent the Office of Admissions at state and national professional meetings as needed.
  • Perform other job-related duties as assigned.
Qualifications:
  • Bachelor’s degree, Master’s preferred, and three years of direct or closely related experience or equivalent combination of education and experience.
  • Experience with college student affairs and coordinating event logistics for large-scale and small-scale college admissions recruitment and yield events.
  • Strong customer service skills.
  • Strong attention to details.
  • Experience with assessment and implementation of innovative, creative, and effective programming.
  • Effective written and oral communication and organizational skills.
  • Strong presentation skills.
  • Effective interpersonal skills and ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of student recruitment, retention issues and admissions standards.
  • Ability to multi-task and work independently as a team member to achieve common goals.
  • Proficient computer skills and use of presentation software. Experience with Slate or another CRM or tour scheduling program is preferred.

Special Requirements:

  • Valid driver’s license and regular access to private reliable means of transportation.
  • Ability to work evenings and weekends as needed to support university events and deadlines
  • Ability to travel as needed.
