Job Title:            Program Assistant, Graduate and Undergraduate Medical Education

Department:      Geriatrics & Gerontology / New Jersey Institute for Successful Aging

SUMMARY

Under the direction of the Program Coordinator, assist the geriatric medical education team with the development, implementation, and monitoring of programs and clinical rotations for undergraduate, graduate, interprofessional, community-based and faculty development initiatives to advance the mission of the Department of Geriatrics & Gerontology / New Jersey Institute for Successful Aging (NJISA).  Provide administrative and program support to students, residents, faculty, and other professional staff.

ESSENTIAL DUTIES and RESPONSIBILITIES include the following:

Assists the Department of Geriatrics & Gerontology / NJISA geriatric medical education team with undergraduate and graduate geriatric medical education, interprofessional education, community-based education, and faculty development initiatives.

Provides support to students with administrative aspects of their medical education including orientation, schedules, assignments and course deliverables; assists with educational and instructional technology. Provides back up and assistance for other education team staff when necessary.

Assists and collaborates with faculty in the development of curriculum and/or online learning materials to support the geriatric medical education programs including course syllabi, student-directed learning activities, exams, simulation/standardized patient encounters, peer review, links to resources, podcasts, video conferencing, and online evaluations.

Coordinates geriatric fellowship trainee recruitment, clinical rotation scheduling, research and teaching program, confirmation of speakers, brochure preparation, and didactic materials.

Assists with accreditation process, maintains up to date knowledge of accreditation requirements and competency standards for training in geriatric medicine and geriatric psychiatry, prepares and maintains accreditation records and documentation, and helps coordinate accreditation site visits.

Arranges all aspects of education workshops, seminars and conferences including annual schedules and key speakers for the NJ Fellowship Consortium, Geriatric Grand Rounds and Interdisciplinary Team Conference sessions.

Prepares continuing education (CE) applications for multiple disciplines, maintains CE records and generates necessary reports in order to meeting reporting requirements.

Assists with the development, distribution, and revision of faculty vacation and call schedules in collaboration with the Manager, Departmental Operations.

Coordinates graduate medical education experiences for family medicine, internal medicine, and psychiatry residents as well as fellows in geriatric medicine, geriatric psychiatry, and palliative care. 

Coordinates placements for external learners of multiple disciplines from outside institutions and ensures completion of University required forms and documentation.

Establishes and maintains databases to support data collection efforts and complies summary data and completes necessary documentation for grant-related and departmental reporting.

Creates website content, newsletters, brochures, surveys / questionnaires, posters, tables, charts, slideshows, and other related documents for medical education programs and/or grant-related initiatives.

Attends and contributes to the education team project meetings as required to fulfill education and grant-related initiatives.  Prepares agendas, minutes, and materials for such meetings.

Serves as liaison with University academic units (e.g. Academic Affairs, Grants and Contracts, IST, Center for Continuing Education) and keeps up-to-date on all pertinent federal, state, AOA, COCA, ACGME, and University regulations, laws, and policies to ensure education program compliance and accreditation.

Understands and adheres to Rowan SOM compliance standards as they appear in the compliance, code of conduct, and conflict of interest policy.

Maintains confidential student records.

Performs other related duties as required.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor’s Degree in Health Education, Social Science or a related discipline, plus at least (2) years of related experience providing administrative support to undergraduate and post-graduate medical education programs in an academic health center.  Experience with online education, continuing education, instructional and educational technology, and grant related projects required.  Applicable experience may be substituted for degree requirement.

Excellent written and verbal communication skills, attention to detail, ability to multitask, and meet deadlines required.

Proficiency with Microsoft Office, Google Drive and Documents, and video conferencing is required.

Experience with simulation activities, including standardized patient encounters, presentation capture (WebEx), social media (Twitter, Instagram), survey instruments (Qualtrics), learning management systems (Canvas), assessment software (one45, ExamSoft) is highly preferred.

PHYSICAL DEMANDS

Must be able to move / carry and set-up audiovisual equipment and educational materials. Must be able to attend meetings in other buildings and at off-site locations.

TIME DEMANDS 

Evening and weekend work may be required to meet grant guidelines and deliver educational programs.
