Reporting to the Associate Dean of The Ric Edelman College, which houses programs in the communications, humanities, and social sciences, the Event Coordinator is a part-time position that serves as a support for the college Dean’s Office. The Event Coordinator will be primarily responsible for partnering with members of the Dean’s Office to plan and execute college-level events. Drawing upon skills in organization and collaboration, the Event Coordinator will effectively organize small to medium-scale events and functions that attract up to 200 attendees.

The following describes the general duties and responsibilities of the Event Coordinator. This document does not cover all job expectations or specific procedures for completing these responsibilities. All Rowan employees are expected to review and abide by additional policies and specific procedures described in other documents including manuals, as well as all local, state and federal laws.

Primary Responsibilities:

• Fully own a portfolio of events from planning to implementation. These events will include, but are not limited to, the college’s presence at Homecoming and Accepted Students Day, the End-of-Year Gathering, and the Senior Send-Off event.
• Liaise with University Events, Gourmet Dining, Facilities to implement events and communicate pertinent information to department chairs and program coordinators.
• Attend University planning meetings for Homecoming and Commencement.
• Collaborate and partner with the Budget Coordinator and Administrative Assistant to secure funding for events and proactively order promotional items and/or event supplies.
• Partner with the college’s Media Specialist and Public Relations Coordinator to effectively market events.
• Supervise one undergraduate intern who supports event planning efforts.
• Learn and utilize campus systems including RowanWorks, 25Live, and Gourmet Dining’s e-cater tool.

Expected Time Commitment: The Event Coordinator is part-time position that constitutes a 20-hour per week commitment with hours being completed on campus. The Event Coordinator will be required to be present for all events planned. Weekly hours will be adjusted to accommodate these commitments.

Contract Term: The start date for the position will be discussed upon hire with a desired start date of Monday, August 25th, 2025. The contract term will run until Tuesday, June 30th, 2026. Continuation of employment may be possible if funding allows.

Supervision and Evaluation: The Event Coordinator is supervised by the Associate Dean of the college. Regular formal and informal meetings with the Associate Dean will promote a culture of collaboration and ongoing feedback.

Qualifications:

• Bachelor’s degree preferred, with a minimum of 2 years of experience coordinating events, conferences, or corporate functions.
• Proven ability to manage multiple events and priorities simultaneously.
• Excellent written and verbal communication skills.
• Project management experience preferred but not required.

The ideal candidate will:

• Work independently with minimal supervision.
• Demonstrate exceptional attention to detail and organizational skills.
• Collaborate effectively within a team and across departments.
• Communicate clearly and professionally with diverse audiences, including students, faculty, staff, and potential VIP guests.
• Manage and prioritize time efficiently and meet deadlines.
• Bring creativity, adaptability, and a solution-oriented mindset to continuously improve the event experience.

Rate: $20 per hour

Hours:

  • This temporary, part-time position is assigned no more than twenty-five (25) hours per week. Work hours cannot exceed 25 hours per week. The work is contracted annually to coincide with the fiscal year and is contingent upon budget appropriation.
