Associate Director of Marketing Project Management

Position Summary

The Associate Director of Marketing Project Management is a leadership role within Rowan University’s Division of Marketing & Communication responsible for overseeing the intake, prioritization, workflow management, and execution of integrated marketing and communications projects across the university.

Reporting to the Senior Director of Brand & Marketing Strategy, this position leads the Marketing Project Management team and is responsible for establishing and maintaining project management standards, overseeing team workflows and project resources, and ensuring projects move efficiently from initiation through completion.

The Associate Director serves as a key partner to marketing leadership and collaborates closely with strategy, creative, digital, web, social media, communications, email marketing, analytics, and research teams, as well as campus stakeholders, to ensure projects are delivered on time, within scope, and aligned with university priorities and brand standards. This role requires a highly organized and collaborative leader with expertise in project management methodologies, stakeholder communication, workflow oversight, resource management, and cross-functional team coordination.

Primary Responsibilities

Team Leadership & Supervision

• Lead, supervise, mentor, and evaluate the Marketing Project Management team, including Marketing Project Managers, Coordinators, and/or related staff.
• Oversee project assignments, workload balancing, and team capacity across active projects and initiatives.
• Foster a collaborative, solutions-oriented, and service-focused team culture.
• Conduct performance evaluations, approve timesheets, and support employee development and training opportunities.

Project Management & Workflow Oversight

• Oversee the intake, prioritization, scheduling, and execution of marketing and communications projects across the Division of Marketing & Communication.
• Establish and maintain standardized project management processes, workflows, documentation practices, and project timelines.
• Ensure visibility across project status, deliverables, dependencies, deadlines, and resource allocation.
• Partner with division leadership to prioritize projects and align timelines with institutional goals and team capacity.
• Monitor project progress, identify potential risks or bottlenecks, and implement solutions to keep projects on track.
• Facilitate project kickoff meetings, status meetings, workflow discussions, and post-project evaluations.

Stakeholder & Vendor Coordination

• Serve as a primary point of contact for complex and high-visibility projects requiring cross-functional coordination.
• Communicate project timelines, milestones, approvals, and risks to stakeholders and leadership.
• Coordinate with external vendors and internal partners to ensure alignment on deliverables, schedules, and approvals.
• Build and maintain effective working relationships with academic and administrative partners across the university.
   Project Management Systems & Reporting
• Serve as division lead and governance administrator for project management platforms such as Wrike.
• Ensure project documentation, timelines, approvals, communications, and deliverables are properly maintained and accessible.
• Develop and maintain project reporting related to team workload, project status, timelines, and overall project portfolio health.
• Lead onboarding and training initiatives related to project management systems and workflows.
  Quality Assurance & Process Consistency
• Help ensure marketing deliverables adhere to university brand standards, accessibility requirements, and established review and           approval processes.
• Promote consistency in project execution and communication across the division.
• Continuously evaluate and refine project management workflows to improve efficiency, communication, and collaboration.

Additional Responsibilities

• Stay informed on emerging trends and best practices in project management and workflow coordination.
• Support special projects and division initiatives as assigned.
• Perform other duties as assigned by leadership.

Qualifications
Required
• Bachelor’s degree from an accredited college or university.
• Minimum of 5 years of increasing responsibility within marketing, communications, project management, or related functional areas,         preferably in higher education, creative, or agency environments.
• Minimum of 3 years of supervisory or team leadership experience.
• Experience working within higher education marketing and communications environments.
• Demonstrated experience managing complex, high-visibility marketing and communications projects from concept through completion.
• Strong knowledge of project management methodologies, workflows, and project management software platforms such as Wrike, Asana, Monday.com, or similar tools.
• Excellent organizational, time management, and problem-solving skills with the ability to manage multiple competing priorities.
• Strong interpersonal, written, and verbal communication skills with the ability to collaborate effectively across diverse stakeholder groups, including executive leadership.
• Demonstrated ability to oversee project workflows, manage team resources, and maintain accountability across multiple concurrent initiatives.
• Ability to exercise sound judgment, professionalism, and discretion while managing sensitive and confidential information.
• Ability to anticipate challenges, proactively solve problems, and adapt in a fast-paced environment.
• Strong attention to detail and commitment to delivering high-quality work.

Preferred
• Master’s degree from an accredited college or university.
• Project Management Professional (PMP) certification or equivalent.
• Experience working with executive-level stakeholders and institution-wide initiatives.
• Familiarity with integrated marketing campaigns, creative workflows, and brand management.
• Experience managing enterprise-level project management systems and reporting structures.

Salary & Benefits:

In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is Managerial ($80,000.00 - $95,000.00), with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.

For internal applicants, salary is determined per the Pay Adjustment formula (NJAC 4A:3-4.9 & 4.10)

For eligible employees, benefits include: comprehensive NJ State health, dental and retirement benefits, extensive accrued time off/paid holidays, and tuition reimbursement for employee, spouse, and dependents to attend Rowan University, Glassboro. (Tuition reimbursement will apply to undergraduate degrees only for spouse and dependents).
