Detailed Description:

This is a part-time, temporary, non benefit-based position with an anticipated end date of October 30, 2026. The appointment is renewable at the discretion of the University and dependent upon performance and continued funding.

The Program Coordinator ensures the smooth operational delivery of educational programs by assisting with the student records, instructor documentation, and partner relations. This role serves as a primary customer service link between USD and its external partners, including educational companies and various school districts, ensuring that educators and professionals receive accurate credit for their completed coursework.

Duties and Responsibilities:

Credit Validation & Partner Support:

  • Act as the primary customer service point of contact for Credit Validation partners and participants.
  • Support primary contacts and instructors with technical assistance for the USD Instructor Portal, (Destiny) including login and credential retrieval.
  • Manage course completion processes including communication with students, instructors, and recording grades.
  • Proactively reach out to students and partners to resolve missing documentation or incomplete registrations.

Academic Records & Grade Administration:

  • Maintain applications, grades, and program FAQs for the LEPSL (Law Enforcement) program.
  • Execute the grading lifecycle: recording, opening/reopening grading sheets, and securing final grade approvals.
  • Address student inquiries regarding grade status or missing academic credits via email.

Contract & Document Management:

  • Facilitate the creation, distribution, and archiving of Instructional and Development Contracts using DocuSign.
  • Coordinate the course approval workflow, including the management and archiving of all approval documentation.
  • Maintain course status accuracy by inactivating outdated or internal course listings through Destiny.

Reporting & Special Projects:

  • Generate marketing performance reports for the AVID partnership to track program engagement.
  • Utilize the Destiny system for assigned resource management tasks.
  • Monitor and manage EDU-specific communications to ensure timely response to all program-related inquiries.

Special Conditions of Employment:

  • This is a fully remote position which will perform all duties and tasks via the University’s digital infrastructure.
  • The position requires attendance at virtual meetings that are scheduled during the day.

Degree Verification Requirement: Persons offered employment in this position will be required to provide official education transcripts for degree verification purposes. 

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree required. A High School diploma and two additional years of experience may substitute for a bachelor’s degree, at the rate of one year of experience is equivalent to two years of education.
  • Minimum of two years of experience in a position that requires critical thinking and analytical skills.
  • At least two years’ experience in customer service.

  • Demonstrates the ability to use resources in the training library to solve problems independently.
  • Maintains high efficiency, accuracy, and completeness when using data systems and data formats.
  • Develops full proficiency to accomplish work within the student information system(s).
  • Encourages accountability in a collaborative way with other team members.
Posting Salary:

 

$24.39 - $27.79 per hour

The salary range provided in this posting reflects what we reasonably expect to pay for this position.  Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
