The Employer Relations Coordinator is responsible for the implementation and logistics of key external engagement programs and initiatives designed to surface career pathways, internships, and full-time opportunities for University of San Diego students and alumni. As an integral member of the employer engagement team, this role ensures the operational foundation for the Center's industry-facing activities, providing students with direct exposure to a variety of industries and organizations.
Reporting to the Associate Director of Employer Relations, the Coordinator provides comprehensive coordination for the Torero Trek program, industry site visits, and a range of high-impact engagement initiatives. In collaboration with the Associate Director and broader team members, the Coordinator oversees the lifecycle and administration of employer engagement and recruitment activity across the Center's contact and management systems. This role executes the administrative implementation of employer engagement activities while contributing to the long-term operational success of new and evolving industry-facing initiatives, refining processes to support program growth and scalability.
Duties and Responsibilities:
Engagement Initiatives Coordination
- Coordinates and administers student application, selection, and orientation processes for the Torero Trek program, industry site visits, and other signature engagement initiatives
- Manages and coordinates logistics support for Treks and other off-campus employer site visits, including but not limited to coordinating transportation (flight/ground), hotel accommodations, catering, scholarship/funding opportunities for students; regularly reviewing and refining operational workflows to enhance program efficiency.
- Collaborates with career counselors and the marketing team to ensure effective promotion of programs by equipping them with necessary information and executing student-facing communications.
- Manages and executes communications to participating students, ensuring completion of required commitment tasks, meeting of deadlines, and adherence to program policies.
- Solves problems and manage day-of program questions from both students and staff, enforcing policies with equity and fairness.
- Supports the Employer Relations teams with researching potential host sites and industry partners based on student interest and engagement priorities.
- Facilitates the preparation of student rosters, agendas, and briefing materials for employer hosts and program stakeholders across all coordinated initiatives.
- Manages follow-up communications and engagement with students after Torero Treks, industry site visits, and other employer engagement initiatives.
Employer Relations Systems Maintenance
- Coordinates and executes administration of the Handshake platform including: employer and internship/job vetting, employer event creation and approval, maintenance of the labeling system used to manage employer contacts, and running insight reports.
- Supports the administration of other departmental career engagement platforms as needed, including user and job board approvals, data entry, and system maintenance.
- Assists with the prospecting outreach and efforts of the employer relations team to surface new employer partnerships to benefit USD students and alumni.
- Utilizes relationship management systems and databases to maintain accurate records of employer engagement and support data entry for departmental outreach efforts.
Employer Programming and Relationship Support
- Provides operational and administrative support for a range of employer and industry engagement initiatives, including career fairs, panels, speaker series, tabling sessions, workshops, and pilot programming.
- Assists with the set-up and day-of execution for new and evolving career development initiatives as directed by the Employer Relations team.
- Supports the logistical details for employer engagement events, including communications, parking, and room/space reservations.
- Provides coordination for the On-Campus Interviews (OCI) process, including scheduling, room coordination, and employer-related communication.
- Collaborates across the Employer Relations, Career Counseling, and other internal teams to facilitate student-employer touchpoints, such as industry treks, mentorship programs, and other emerging engagement initiatives.
- Executes communication and responds to inquiries from employer and alumni partners, providing high-level customer service and triaging inquiries to the appropriate team members.
Special Conditions of Employment:
- Ability to travel locally and regionally to employer sites and networking events.
- Able and willing to occasionally work evenings and weekends for events and programming.

Minimum Qualifications:
- Bachelor’s degree required. Substitution: A high school diploma and two additional years of work experience may substitute for Bachelor’s degree, at the rate of two years of education is equivalent to one year of work experience.
- Minimum 1 year of related work experience required.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.
Preferred Qualifications:
- Strong organizational and project management skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent written and verbal communication skills with a proven ability to work collaboratively within a team.
- Experience with Handshake, CRM systems, and specialized databases preferred.
- Familiarity with database and tracking systems such as Handshake and, and/or an ability to learn these systems.

- Knowledge of Google Suite (Documents, Sheets, Slides, etc.) and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Strong customer service abilities in solving and/or triaging inquiries to the Career Development Center.
- Demonstrated ability to interact with employers, students, and other stakeholders.
- Excellent written and verbal communication skills and strong interpersonal skills.
- Ability to understand and appreciate the central role that recruiting holds in ensuring the success of USD students and of the Career Development Center.
- Willingness to engage in professional development and growth opportunities, including representing the department at internal meetings or industry events and contributing to team-wide process improvements.
- Strong ability to track and manage daily deadlines.
