Job Title: University Events Assistant
Department: University Events and Community Partnerships
Student Employment Type: Graduate Assistant - Hourly
Responsibilities: • Event registration setup and maintenance
• Creation of event surveys and analysis of results
• Data creation, reporting and analysis of event booking and attendance
• Invitation mailing
• Maintaining event supply inventory
• Guest services either in person, by phone or email
• Recruiting peers to staff events as applicable
• Creating and sharing event promotions using creative tools such as Canva
• Attending university events in person and virtually; occasional nights and weekends required
• Light lifting for occasional in-person events
• Assisting with various event coordination aspects for university events including Commencement, Boo Bash, Quad Lighting and Bobcat Weekend
• Working across departments to plan event logistics
• Placing event orders for external clients
• Processing incoming event requests
• Serving as on-site contact for external events
• Assisting with conference housing as needed
• Conference packet assembly
• Other projects as assigned
Qualifications: • Solid written communication and interpersonal skills necessary
• Proficient in Microsoft Office, particularly Excel; making charts a plus
• Creative design skills using software such as Canva
• Interest in and ability to learn new programs and event software
• Office experience and exceptional organizational skills needed, as well as with attention to detail
• Ambitious and positive attitude; works well as a member of a team
• Knowledge of event registration and survey applications a plus
• Must be comfortable completing tasks independently, asking questions and working towards defined goals for the position
Hours of Position:
  • Approx. 8hrs per week
  • May vary based on event schedule
