Job Title: Conferences and Events Graduate Assistant
Department: Conferences and Events
Student Employment Type: Graduate Assistant - Hourly
Responsibilities:
  • Serving as on-site representative for external events; some evening and weekend availability required
  • Processing incoming event requests and keeping up to date records of their booking progress
  • Working across departments and with university partners to facilitate external event logistics and place orders on behalf of external clients
  • Assisting with conference housing as needed to include guest check-in and check-out, room inspections, and assisting with group needs
  • Light lifting for event setups where applicable
  • Event registration setup, reporting and maintenance
  • Conference packet assembly, name tag creation
  • Creation of event surveys and analysis of results; compiling testimonials
  • Data creation, reporting and analysis of event booking and attendance
  • Guest services in person, by phone or email
  • Creating and sharing promotions using creative tools such as Canva
  • Assisting with internal University Events as needed
  • Other projects as assigned
Qualifications:
  • Solid written communication and interpersonal skills necessary
  • Proficient in Microsoft Office, particularly Excel
  • Creative design skills using software such as Canva
  • Interest in and ability to learn new programs and event software
  • Office experience and exceptional organizational skills needed, with attention to detail
  • Must have problem-solving experience and ability
  • Ambitious and positive attitude; works well as a member of a team
  • Knowledge of event registration and survey applications a plus
  • Must be comfortable completing tasks independently, asking questions and working towards defined goals for the position
Hours of Position:
  • 8-10 hours per week; May vary based on event schedule
  • Weekly schedule will fluctuate based on event bookings and will be made up of in-office work during regular business hours with some evening and weekend work on site at events.
