Job Summary: |
The Scheduler is an individual who, with appropriate experience, can enhance the clerical functions of General Surgery. This individual takes responsibility for the clerical duties by initiating and following through on appointments related to surgery for patients, making sure a proper insurance authorization is in place, screening telephone calls and relaying messages. Provides patient friendly service graciously, efficiently, and confidentially. The scheduler's main focus is to schedule OR procedures both at University Hospital and at outside facilities with proper time allotments as designate by the physician and based on location.
- Answers the telephone, taking accurate messages, transferring calls to appropriate staff or handles certain calls that are appropriate.
- Assists with scheduling follow up appointments in the outpatient practice as requested by the procedure practice.
- Works in conjunction with Billing Personnel to ensure procedures ordered are reflective of the specifications of patient's insurance company and the appropriate referrals or authorizations have been obtained prior to the services being rendered and documents this.
- Schedules into OpTime any procedures which will occur at University Hospital. Coordinates requires Pre-Admission Testing and Anesthesia linked appointments.
- Responsible for chart preparation in EMR system. Reviews the patient orders and makes sure that all pertinent information is available for the provider prior to patient's surgery. (e.g. requests missing test results or clearance notes sent to office prior to surgery).
- Assists with scheduling outside OR procedural services as requested by the physician for the patient.
- Responsible for dual entry of all procedures scheduled into Epic and Outlook calendars.
- Responsible for sending written correspondence for procedure appointment changes.
- Assists with obtaining equipment to OR prior to surgery at surgeons request, to multiple locations as scheduled.
- Schedules outside services as requested by the physician for the patient (Medicaid cab, interpreter services, etc).
- Works in conjunction with billing office to ensure that appropriate referrals or authorizations have been obtained and documentation completed via EPIC. Obtains authorization for surgical procedures, insurance verification, maintains referrals work queue and EPIC depot.
- Responsible for review of the procedural schedule to make sure that the schedule is appropriate regarding the time allotted for each procedure to decrease patient "wait time" and utilize the physician's time efficiently.
- Responsible for assisting with processing all procedural schedule changes and communicating with physicians regarding schedules.
- Responsible for scheduling all patients from the New York State Department of Corrections (DOCS) and assisting with arrival of DOCS patients for procedures.
- Performs other duties as requested, including the relief of other staff for breaks, vacations, days off as a float for OR Schedulers in the department.

Minimum Qualifications: |
Associates Degree or pertinent college level courses and two years of administrative/office management experience. Will consider equivalent combination of education and experience.
