About the Position: 

Serving over 40,000 students, many of whom are the first in their family to attend college, California State University, Fullerton is one of the most transformative universities in the state. The University is searching for a member of staff who is diplomatic, proactive and possesses excellent communication skills to join the President's Office as a Confidential Coordinator (Confidential Office Support II). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under general supervision, the Confidential Coordinator provides confidential general secretarial and administrative office support to the President's Office. Serves as the primary point of contact/resource liaison for visitors and callers to the President's Office. Screens telephone calls, initiates correspondence, both routine and confidential in nature. Uses discretion and independent judgment in communicating information as needed. Maintains confidential records and opens mail of highly sensitive confidential nature. The scope of responsibilities for this position includes assisting with meeting and conferring, and assisting with collecting and compiling data related to those items.

The Confidential Coordinator manages files, both hard copy and automated. Interprets and applies campus-wide and system-wide operating policies and procedures. Manages reservations for the President's Office conference room, schedules meeting and prepares and maintains rooms for meetings as needed. Manages the ordering of all office supplies. Responsible for handling and maintaining documentation and reports that are of highly confidential and sensitive in nature. Works relatively independently and utilizes sound judgment in solving a wide range of issues.

The Coordinator drafts correspondence as needed. Assists in event coordination, planning, and arrangement of hospitality services. Other responsibilities entail acting as department timekeeper, department IT Coordinator, and serving as a delegate to reconcile procurement cards and enter requisitions into the system. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent at least one year of general office experience. Possession of fundamental written and oral communication skills, including a basic foundation in English grammar, spelling, and punctuation. Ability to understand basic office procedures, operate standard office equipment and software, and perform basic arithmetic. Possession of basic typing and keyboard skills. Ability to provide work direction, train, and provide guidance to other employees. Ability to make recommendations on employee staffing issues. Ability to coordinate events and special projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Demonstrated experience in an executive office.

License/Certifications

A valid California driver’s license. Position requires the use of a state vehicle (small cart) to transport to events.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing at: https://hr.fullerton.edu/risk-management/clery-act/. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

 

Notice of Availability of the Annual Fire Safety Report (AFSR)
In addition, pursuant to the Higher Education Opportunity Act, the AFSR is also available at https://hr.fullerton.edu/risk-management/clery-act/. The purpose of this report is to disclose statistics for fires that occurred within California State University, Fullerton housing facilities for the last three (3) calendar years, and to distribute fire safety policies and procedures intended to promote safety on campus.
