About the Position: 

The Division of Administration and Finance serves as the backbone of the CSUF campus, managing a wide array of operations from maintaining and enhancing university buildings and grounds to providing important business support services. Campus beautification, classroom improvements, and technological advancements, continue to be a priority as we enhance the learning environment and facilities. It is the mission of the Division to provide customer-focused administrative support and steward our physical and financial resources to fulfill the university’s mission and support student success. Partnership with our diverse campus community and its many stakeholders are important in helping our operations provide excellent customer service and results. We seek an exceptional individual to join our team as the Accounts Payable Check Coordinator (Accounts Payable Technician I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Under the direct supervision of the Director of Accounts Payable, Travel, and Tax, the Accounts Payable Check Coordinator plays a key role in coordinating accounts payable and travel-related disbursement functions for the University. Ensures the accurate and timely execution of vendor payments, employee reimbursements, and student disbursements, while proactively identifying, analyzing, and resolving issues that may arise. Serving as a primary resource, the Accounts Payable Technician I provides technical expertise and support, and guidance to the campus community and external partners, while ensuring compliance with federal, state, CSU, and CSUF policies and procedures. Responsible for carrying out analytical and technical assignments in the areas of accounts payable, travel, and full pay cycle processes, including electronic disbursements. Success in this role requires the ability to manage competing priorities and meet critical deadlines. A thorough understanding of CSU policies, regulations, and compliance standards is essential to ensure operational accountability, efficiency, and consistency. In addition to the core responsibilities, the Accounts Payable Check Coordinator provides administrative backup as well as technical support during staff absences and contributes to the successful execution of month-end and year-end close processes. Requires ongoing collaboration with the Financial Services Team, CSUF departments, employees, and vendors to resolve complex issues, improve processes, and strengthen relationships. As an integral member of the Accounts Payable team, the Accounts Payable Technician I fosters a culture of service and collaboration, contributes to departmental initiatives, and represents Accounts Payable with professionalism and excellence. Other duties as assigned.

Essential Qualifications

A combination of experience and education which has provided the above knowledge and abilities which at minimum includes equivalent to one year of accounts payable experience or closely related financial record-keeping experience. Under direct supervision, performs entry-level duties by utilizing basic knowledge of financial record-keeping methods, procedures, and practices. Assists senior accounts payable technicians and accounting professionals. Performs routine tasks following detailed and established procedures. Work is reviewed for understanding of concepts and compliance with policies and procedures. Basic knowledge of financial record-keeping. Skill in following guidelines and adhering to standards. Attention to detail when reviewing documents for accuracy and completeness and completing data entry. Communication and interpersonal skills to collaborate effectively with team members, suppliers, and vendors.  Ability to compute numbers and enter data rapidly and accurately. Ability to work independently and as part of a team and exercise tact and courtesy with diverse stakeholders. Computer skills including use of word processing and spreadsheet software programs, web browsers, and records management systems. Time management skills to complete work efficiently and on time.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Knowledge or familiarity with integrated financial accounting systems, Common Financial System (CFS), PeopleSoft/queries, and Concur. Knowledge of accounts payable processes, travel, and procurement policies and procedures. Specific knowledge of CSUF processes and priorities. Ability to effectively use integrated accounting systems and Microsoft Office suite. Possession of the analytical and technical skills necessary to troubleshoot, research, and resolve transactions.
