Job Summary

 

Under direct supervision, Student Assistants perform duties ranging from unskilled to skilled and/or specialized, in a variety of positions that typically require the use of manual, clerical, public contact, and/or analytical skill. 

The Student Assistant provides administrative and operational support to department staff while contributing to a professional and welcoming office environment. This position assists with clerical tasks, event support, mail distribution, inventory management, and general office operations. The ideal candidate is dependable, organized, communicates effectively, and demonstrates professionalism in interactions with staff, students, and campus visitors.

Duties:

Admin Support:

•               Perform general office and administrative tasks, including filing, copying, scanning, data entry, and document preparation.

•               Answer phones, respond to basic inquiries, and direct questions to appropriate staff members.

•               Maintain organized electronic and physical records.

•               Sort, organize, and distribute incoming and outgoing mail and packages.

•               Ensure mail is delivered accurately and in a timely manner.

•               Assist with tracking, organizing, and maintaining office supplies and departmental inventory.

•               Notify supervisors when supplies need to be replenished.

•               Help receive, unpack, and store deliveries.

•               Provide support to department staff on special projects and daily operational needs.

•               Complete assigned tasks accurately and within established deadlines.

•               Assist with maintaining clean, organized, and professional office spaces.

Event Support

•               Assist with the planning, setup, operation, and breakdown of departmental events, meetings, workshops, and special programs.

•               Help prepare materials, signage, and supplies for events.

•               Provide customer service and support to event attendees as needed.

Commencement Participation Requirement

•               Student employees are required to assist with the college commencement ceremonies and related activities as part of their employment responsibilities.

•               Student employees must be available to work the full assigned Commencement shift, 8 hours in duration.

•               Duties may include event setup and breakdown, guest assistance, directing attendees, distributing materials, staffing check-in areas, and providing general event support.

•               Student employees are expected to arrive on time, remain for the entire assigned shift, and maintain a professional and positive attitude throughout the event.

•               Attendance and participation during assigned Commencement shifts are considered an essential job responsibility and will be factored into overall job performance evaluations.

This position offers students the opportunity to develop professional communication, organizational, customer service, and administrative skills while supporting the mission and operations of the department.

Minimum Qualifications

Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.

•               Must be enrolled as a student at California State University, Fullerton.

•               Ability to work independently and as part of a team.

•               Strong organizational and time-management skills.

•               Effective verbal and written communication skills.

•               Basic proficiency with Microsoft Office and Google Workspace applications.

•               Ability to lift and move office supplies and event materials up to 25 pounds, with or without reasonable accommodation.

Required Qualifications

  • Current student at CSUF and is enrolled/registered (fees paid) in a current regular semester as a new or continuing student.
  • Student who has completed the prior semester (has not graduated), or who is registered for the subsequent semester.
  • In good academic standing (not on academic probation, continued probation, academic dismissal).
  • Student who is authorized to work in the United States and can provide employment eligibility documents.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing at: https://hr.fullerton.edu/risk-management/clery-act/. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

Notice of Availability of the Annual Fire Safety Report (AFSR)
In addition, pursuant to the Higher Education Opportunity Act, the AFSR is also available at https://hr.fullerton.edu/risk-management/clery-act/. The purpose of this report is to disclose statistics for fires that occurred within California State University, Fullerton housing facilities for the last three (3) calendar years, and to distribute fire safety policies and procedures intended to promote safety on campus. A paper copy of the AFSR is available upon request by contacting the Housing Office located at The Housing & Residential Engagement Main Office.
