Job Summary

The NCAA Eligibility and Certification Coordinator at the Student Athlete Resource Center (SARC), acts as the unit lead for initial and continuing eligibility and will liaise with the Admission’s Office, Registrar’s Office, Enrollment Management, Student Success Centers, International Student Scholar and Services (ISSS), Athletics Department, and Faculty. While adhering to NCAA and Mountain West Conference guidelines on athletic and academic eligibility requirements, the incumbent will support student-athletes to adhere to Title IX, California State University (CSU), San José State University (SJSU) regulations, with the end goal of degree completion. The Eligibility and Certification Coordinator for SARC must build strong relationships with athletic coaches, athletic administration, University faculty and staff, and campus partners. The incumbent will also support the Managing Director, SARC, and Athletics Compliance team in calculating and submitting the Academic Progress Rate (APR) and Graduation Success Rate (GSR).

 

Key Responsibilities

  • Oversight, tracking, and distribution of initial and continuing athletics and academic eligibility status of all student-athletes
  • Organize and ensure the accuracy of the department’s initial, transfer, and continuing academic eligibility certification
  • Create and maintain Academic Eligibility Grids to ensure accuracy and completion
  • Maintain academic data for all student-athletes on a term-by-term basis (units earned/grade point averages), majors, and transfer status
  • Monitor graduation registration status for Student-Athletes
  • Monitor enrollment status of International Students
  • Work with Athletics Compliance and SARC to ensure eligibility grids are accurate and completed in a timely fashion
  • Assist Compliance department with Progress Towards Degree Waivers
  • Maintain records, statistics, and data to document academic processes and athletic eligibility
  • Assist with APR & GSR data review, collection, and submission
  • Liaise with the International Student and Scholar Services (ISSS) to monitor international student-athlete enrollment and status
  • Ensure clear communication and coordination with campus and athletic partners to support student-athletes
  • Works with Student-Athletes and Coaching Staff regarding University and athletic-related Holds
  • Schedule semester roster meetings with Compliance, SARC, and Athletic Coaches to review roster information
  • Work with campus partners and athletics to properly evaluate student-athlete transfer transcripts
  • Create a system to forecast the Academic Progress Rate for each athletic team
  • Assists the Compliance department with roster maintenance for each team

  • Ability to lead and work independently with minimal instruction to provide guidance and direction to the SARC staff
  • Ability to analyze complex situations accurately and adopt practical courses of action
  • Demonstrated ability to deal with challenging and complex issues positively and proactively
  • Skill in leading the day-to-day operations of an athletic academic environment
  • Ability to interpret and convey CSU, SJSU, and NCAA policies and procedures to provide support to SARC staff and promote student success
  • Ability to maintain confidentiality and appropriately handle sensitive information and communication with student-athletes, parents/guardians, employees, and external agencies
  • Maintain updated FERPA information and procedures and provide that information to SARC staff annually
  • Ability to create, implement, and lead programs that are responsive to a diverse and multicultural student-athlete population
  • Knowledge of NCAA rules and regulations as it relates to academic integrity and conduct policies

 

Required Qualifications

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related and three years of progressively responsible professional student services work experience
  • A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience
  • A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling

  • Master’s Degree

  • APR and GSR calculation experience
  • Demonstrated experience working with a diverse population of students
  • Experience working with student-athletes
  • Demonstrated extensive NCAA knowledge and work experience in the academic support of student-athletes
  • Demonstrated extensive NCAA Knowledge for initial and continuing eligibility
  • Demonstrated excellent written communication skills with a strong customer service background in a student-athlete focused educational setting with collegiate coaches, faculty, and staff
  • Demonstrated work experience in leading the communication of General Education and athletic eligibility requirements, learning methods, and academic success in a university setting
  • Experience analyzing and interpreting student success data and then creating an action plan to support increased performance to ensure graduation and athletic eligibility
  • Experience with PeopleSoft, and/or customer service-based technology systems

 

Compensation

Classification: Student Services Professional III
Anticipated Hiring Range: $/month - $/month
CSU Salary Range: $5,276/month - $7,517/month
