Position Description

Job Summary

This position within the Evaluations, Articulation, and Transfer Credit unit contributes significantly to day-to-day operations of the entire unit and to overarching priorities. The incumbent plays a key and pivotal role, both external and internal in all aspects of the approval, application and evaluation of transfer and test credit to Cal Poly admissions and degree requirements and thus in facilitating seamless onboarding and progress-to-degree of transfer students and first-year students.

The Office of the Registrar currently operates on a hybrid schedule: team members who are past their probationary period work three days per week in the office and telecommute two days per week.

Department Summary

Within the Strategic Enrollment Management Division, the Office of the Registrar’s mission is to provide direct support services to students, the entire campus community, alumni, and the public. The Registrar's Office is responsible for support to and oversight of: academic scheduling and curriculum; enrollment and registration; grading (initial collection, grade changes, credit/no credit); transcripts and diplomas; verification of enrollment; certification and compliance of NCAA athletes; statements of degree credit, transfer credit evaluations, major changes, and degree completion, including the awarding of degrees; multiple tools to support registration and tracking of degree progress; integrity, maintenance, and reporting of all aspects of the student record; the development and publication of articulation agreements; test credits;  functional administration of the university's master calendar system; and collaboration with all relevant campus constituents in furtherance of strategic university and system-wide goals in the arena of enrollment management and progress-to-degree.

Key Qualifications

  1. Oversee and manage articulation, including but not limited to collaborating with California community colleges, CSU campuses, UC campuses, California private schools, and select out-of-state schools to intake articulation requests; send to faculty for review; follow-up as needed; and publish approvals in the statewide Assist.org database (Articulation Systems Stimulating Interinstitutional Student Transfer). This is both an annual process when curricular updates occur, and an ongoing effort as new articulations are approved. Use independent judgment to determine how to display complex articulations in Assist.
  2. Working with Admissions, academic departments, and college Dean’s offices, identify best candidates for proactive Cal Poly articulation approvals. Educate new Department Heads and Chairs on the concept and benefits of articulation and negative impacts to Cal Poly and potential transfers of lack of articulation; use consultative and collaborative skills to continually work with them to improve articulation. Serve as a resource for questions from internal and external constituents on all aspects of the Assist display, including CSU transferable courses, General Education approvals, and American Institutions approvals.
  3. Increase Cal Poly’s use of C-ID (statewide Course Identification Numbering System) in order to efficiently increase articulation. Work with faculty to increase their understanding of and comfort level with C-ID.
  4. Serve as campus liaison for the statewide Common Course Numbering (CCN) system; work with faculty and exercise independent judgment to approve Cal Poly articulations for common course numbers as they continue to come onboard.

Education and Experience

  • Equivalent to graduation from a four-year college or university. Four years of technical or administrative experience. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Salary and Benefits

Anticipated Hiring Range: $76,000 - $92,000 Per Year 

Classification Range: $66,444 - $120,168 Per Year
