Administrative Analyst/Specialist - Exempt I

*** Temporary Position - 1 year appointment subject to renewal of grant funds each year. No permanent appointment will be reached from this position. ***

RESPONSIBILITIES & DUTIES:

Works closely with the Project Director to lead and oversee program planning, design, and implementation to meet the objectives and deliverables associated with SOAR at CI outreach activities including events, communications, and college knowledge curriculum as well as partnership cultivation with regional schools and community-based organizations. Analyzes outcomes of the programs and provides feedback for improvements and continued development.

Develops and coordinates workshops, guest speakers, events, and in-class presentations facilitated by peer mentors for regional schools and organizations. Designs and implements large-scale events, including day-long student and family conferences. Plans and implements marketing materials and advertising efforts for outreach activities; manages related activities and ensures that all related documentation is organized and on file. Coordinates with educational partners external to CSUCI to implement outreach activities.

Collaborates with professional staff to implement the student employee hiring plan and provides student employees with lead work direction, training, and oversees their day-to-day work. Provides support for department-wide initiatives including regional outreach efforts, family events, and logistical and facilitation support for PEEP (Peer Education & Equity Programs) training and team meetings. Works collaboratively with campus partners on related regional and community outreach activities.  

Performs a variety of large-scale administrative and analytical functions in coordination with educational partners external to CSUCI to implement outreach activities and support activity-level logistics including expenditure processing, preparation of consulting paperwork, travel coordination, on-campus and regional meeting coordination, event planning and preparation, and initiative budget and expense planning and tracking. Assists with activity evaluation planning, collects and maintains relevant data, develops reports, and prepares written reports and presentations that contribute to monthly and annual reporting summarizing the progress of grant activities. Maintains all project-based record-keeping needed for relevant grant reporting, independently tracks participant data according to CSUCI and federal reporting guidelines and maintains records to achieve programmatic goals and desired results.

Develops program materials, curriculum, workshop materials, marketing materials, social media campaigns, communication materials, etc. Troubleshoots problems and develops, recommends, and evaluates proposed solutions to support the continuous improvement of programming. Interprets and applies policies and procedures to ensure that operations comply with university, educational partners, and sponsor’s regulations, and maintains appropriate records using judgment and discretion to act when precedents do not exist. Performs related duties as assigned.

REQUIREMENTS OF POSITION:

Education: Bachelor’s degree and two-years’ experience coordinating student educational pipeline activities with direct experience working with diverse students, faculty, and community partners, or comparable work.

Experience: Demonstrated experience working with students from Historically Underrepresented Groups (HUGs) and interest in working in a fast-paced, multi-ethnic, multicultural environment. Experience planning and executing events, preparing and making small and large group presentations, and facilitating training sessions. Excellent organizational, communication, multitasking, and interpersonal skills. Must be detail oriented, dependable, punctual, and able to communicate effectively with a variety of people, including, but not limited to students, faculty, staff, guests, and administrators. Administrative experience and functional knowledge of standard office procedures and practices. Ability to prioritize multiple assignments and see a project through from planning to implementation, follow timelines, and meet deadlines. Ability to work independently in the day-to-day coordination of work assignments and work as part of a larger team. Ability to provide lead work direction and training to staff, faculty, and/or student employees. Ability to develop and maintain cooperative working relationships with staff, faculty, student employees, and other campus departments using diplomacy, tact, and discretion. Ability to quickly absorb new information and ability and willingness to learn new skills and technology systems and software to support program goals and objectives. Experience preparing and facilitating presentations. Proficient in Microsoft Office Suite (including Word, Excel, Outlook, PowerPoint, and Publisher), Zoom, Microsoft Teams, Adobe, and/or OneDrive. The candidate must maintain the confidentiality of student information at all times (as per FERPA).

Travel required to meet with community partners, must be able to work flexible hours including evenings and weekends with advanced notice.

Other Knowledge/Skills: Bilingualism in Spanish is preferred. Possession of written, and verbal communication skills in English and Spanish.

Preferred Qualifications: General knowledge of CSUCI policies and procedures and general knowledge of Title V programs and regulations. Experience in coordinating outreach activities is preferred. Master’s degree in a related field or equivalent experience a plus.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

Hiring Salary: $4,598 - $6,500 per month
