
Job Summary
The Executive Assistant to Chief of Staff/Program Specialist will handle highly confidential and sensitive issues and information and is expected to provide ongoing availability outside office hours, including weekends. This position will be responsible for all preparations for the Cabinet weekly meetings and retreats. This position will also provide research, project management and strategic program support for members of the Office of the President’s Beach Futures group, as well as provide related calendar, event and communications support to the Beach Futures management team. The position requires strong initiative, mature and independent judgment, utmost confidentiality and professionalism, and flexibility in a fast-changing environment, all while managing time effectively to achieve all projects and tasks on time. The position will have normal access to confidential information which contributes significantly to the development of the management positions regarding strategic planning at CSULB. This role grants the incumbent access to management's strategies on collective bargaining negotiations at CSU Long Beach.
Key Responsibilities
- Provide administrative and program support for the Deputy Chief of Staff and the Assistant Vice President for Future Planning, which may include scheduling meetings, creating agendas, presentations and project documentation as well as tracking committee or work group activities.
- Provides strategic program support and project management to develop and successfully execute complex cross-divisional campus-wide initiatives, and projects. This includes providing support involving presentation of management positions related to a wide variety of campus issues, which requires normal access to confidential information and management’s strategies on collective bargaining negotiations at CSU Long Beach.
- Responsible for the President's Ambassadors program including recruitment, outreach, selection of student participants and programming for their professional and personal leadership development at semi-monthly seminars.
- Assist in the implementation of the Leadership Fellows Program, including comprehensive logistics related to scheduling of meetings and activities, preparation of resources and materials, management of website, and facilitation of program technology.
Knowledge Skills and Abilities
The ideal candidate demonstrates sound judgment and discretion, maintains a high level of confidentiality and professionalism, and effectively manages multiple tasks in a fast-paced, sensitive environment. They are skilled in problem-solving and delegation in alignment with OTP guidelines, and work collaboratively across teams and University divisions. Strong oral and written communication skills enable them to interact effectively with a wide range of contacts, including dignitaries and external organizations. They possess thorough knowledge of English grammar and are proficient in Microsoft Office—especially Word, Excel, and calendaring systems—with additional tech skills preferred. The candidate also demonstrates competency in standard business math, including financial tracking and reconciliation.

Education and Experience
• Equivalent to a bachelor's degree in a related field and three years of related experience required.
• Thorough knowledge of and experience with CSULB campus community, auxiliaries and various student activity programs strongly preferred.

Compensation
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
Hiring Range: The hiring range for this position is $4,464 - $10,689 per month commensurate with candidate's education, experience, skills, and training.
CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,687 - $7,432 per month.
Time Base
1.0 time-base, 40 hours per week.
Duration of Appointment
This is a regular position.
