Job Summary:

Under the general supervision of the Parking Manager the Administrative Support Coordinator performs a full range of administrative support functions to support and promote alternative modes of transportation utilized by the campus community.

 

Responsibilities:

• Carry out routine marketing tasks and outreach activities in support of campus alternative transportation programs by preparing and distributing brochures, flyers, website content updates, and social media content using approved templates, branding guidelines, and established procedures.

• Provide general administrative support for outreach events by reserving spaces, preparing materials, assisting with event setup, tabling, presenting prepared slides, and coordinating event logistics.

• Support the Alternative Transportation Committee by scheduling meetings, preparing agendas and presentations, maintaining membership records, taking minutes, and coordinating committee communications and meeting logistics.

• Respond to campus inquiries regarding alternative transportation options by providing information on available commuting options, EV charging access, and referral to appropriate staff or campus resources.

• Provide frontline assistance to individuals seeking commuting guidance by offering general and 1-on-1 information on bus routes, Park-and-Ride locations, electric vehicle charging and other alternative transportation options.

• Coordinate program logistics by recording eligibility, issuing carpool permits, maintaining enrollment records, and updating vanpool and carpool participation lists.

• Collect and record participation and ridership data across sustainable transportation programs using established reporting procedures.

• Using existing data, prepare monthly, quarterly, annual, and ad hoc transportation report templates by summarizing participation levels, program milestones, and basic usage counts.

• Serve as frontline contact for routine Commuter Link Bus customer inquiries by answering basic service questions and coordinating with the transit agency as needed for service notices and maintain ridership data for reporting purposes.

• Support vanpool administrative needs by maintaining route and participant information and providing logistical support for outreach activities with approved vendors, such as tabling events and presentations.

• Prepare quarterly Coyote Cash incentive reports by recording monthly participation counts, preparing monthly and quarterly participation reports using existing usage template and data, and preparing quarterly incentives distribution request template form for review by General Accounting and submission to the State Controller’s Office.

• Serve as departmental timekeeper by processing monthly timesheets, payroll documents for full-time, part-time, and student staff in accordance with CSU and campus timekeeping requirements.

• Coordinate with internal staff on the onboarding and separation processes for student employees and ensure accurate updates to timekeeping records.

• Complete routine timekeeping tasks in applicable payroll systems in accordance with established timelines and procedures.

• Maintain up-to-date knowledge of CSU and campus timekeeping policies to ensure compliance and proper document processing.

• Support front-office parking operations by assisting with customer inquiries, parking permit sales, and routine administrative tasks such as filing and preparing standard documents.

• Assist with general office duties including answering phones, responding to customer emails, preparing simple field reports, printing, filing, and other clerical activities as needed.

• Attend meetings and training sessions as directed to maintain knowledge of department procedures and university requirements.

• Perform other classification-related duties that support the department

 

Minimum Qualifications: Required Education and Experience

High School diploma or its equivalent and three years of progressively responsible experience in general office clerical or secretarial work or the equivalent

Required Qualifications

• Experience to be fully functional in all technical aspects of work assignments.

• Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.

• Thorough knowledge of English grammar, punctuation, and spelling.

• Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.

• Ability to independently handle multiple work unit priorities and projects.

• Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.

• Working knowledge of budget policies and procedures.

• Ability to perform standard business math, such as calculate ratios and percentages, track financial data.

• Ability to draft and compose correspondence and standard reports.

• Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

 

Preferred Qualifications

Ability to obtain ETC certification

Compensation and Benefits:

Anticipated salary step placement: $4,047.00 monthly (Step 1) 

Classification Salary Range: $4,047.00 - $5,896.00 monthly (Step 1 - Step 20) 

 

The salary offered will take into account internal equity and experience among other factors.

 

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time / Non-Exempt / Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
