Job Summary

The Undergraduate Education Coordinator provides comprehensive administrative and operational support to the Undergraduate Education unit, including coordination of academic internships and student petitions. This role manages front-line communications, office operations, and key processes while ensuring accurate application of academic policies and procedures. The incumbent supports data tracking, website maintenance, and event coordination to enhance service delivery. Working under general supervision, this position contributes to a responsive, student-centered environment for faculty, staff, and students.

 

Key Responsibilities

  • Serve as the primary front-line contact, responding to inquiries and providing accurate information to students, faculty, and staff
  • Coordinate office operations, including scheduling, calendar management, and conference room logistics
  • Process and manage student petitions, including tracking, communication, and documentation of outcomes
  • Administer academic internship processes, including reviewing proposals, managing agreements, and maintaining databases
  • Maintain and update department websites and digital content
  • Support data management, reporting, and record-keeping activities
  • Coordinate and support events and programs, including logistical planning and execution
  • Apply and interpret academic policies and procedures to ensure compliance and accuracy
  • Collaborate with campus partners and departments to support program operations and services

  • Strong customer service and interpersonal skills with the ability to communicate effectively across diverse groups
  • Ability to manage multiple priorities and perform accurately in a detail-oriented environment
  • Knowledge of administrative practices, office coordination, and records management
  • Ability to interpret and apply academic policies, procedures, and regulations
  • Strong written and verbal communication skills, including business writing and correspondence
  • Ability to handle sensitive information with confidentiality and professionalism
  • Problem-solving skills with the ability to analyze and resolve operational issues
  • Proficiency in office technologies and systems, including databases, web platforms, and productivity tools
  • Ability to work independently and collaboratively within a team environment

 

Required Qualifications

  • Completion of a high school program, technical/vocational program, or their equivalents
  • Three years of related office work experience

 

Preferred Qualifications

  • Bachelor’s degree
  • Experience with computer skills and working knowledge of common software suites (Microsoft, Google, and Adobe), along with data entry and web content management systems
  • Experience in organizing and maintaining records and data on special projects.
  • Experience with student support (i.e., class scheduling, records and enrollment, and familiarity with curriculum).
  • Experience using PeopleSoft Student Administration
  • Experience with customer service, office administration and project management, social media, and event coordination

Compensation

Classification: Administrative Support Coordinator II
Anticipated Hiring Range: $4,634/month - $4,918/month (Step 4 – Step 7)
CSU Salary Range: $4,367/month - $6,362/month (Step 1 – Step 20)
