PURPOSE:

Under the general supervision of the Director of Athletics, the incumbent independently oversees and coordinates athletic facilities, home game operations, and overall event support for the Department of Athletics. The incumbent provides operational leadership and administrative coordination in support of intercollegiate athletics programs and athletic events, ensuring safe, efficient, and customer-service-oriented operations that support student-athletes, coaches, campus partners, and visitors. The position exercises judgment and discretion in the coordination of athletic home game operations, facility scheduling, event logistics, student assistant supervision, and operational policy development to support the mission and goals of the Athletics Department and the University.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:  

Athletic Facilities & Operations Coordination

  • Coordinate and oversee the maintenance, scheduling, and operational readiness of intercollegiate athletic facilities and related equipment, including washers/dryers, basketball hoops, soccer goals, lighting, and other athletics-related resources.
  • Analyze and evaluate athletic facility operations and provide recommendations to Department of Athletics leadership regarding staffing, operational needs, and use of university resources.
  • Develop and implement operational policies and procedures related to athletic facilities and facility usage.
  • Develop, maintain, and manage the official Athletics facility calendar and facility reservation processes.
  • Coordinate facility usage with campus departments, Associated Students, Intramurals, Club Sports, external groups, and the public.
  • Schedule shared athletic facilities and classroom spaces utilizing 25Live and other calendars as indicated.
  • Maintain windscreens and related facility aesthetics across athletic venues.
  • Coordinate the reservation of campus rooms and event spaces on behalf of the department.
  • Procure and maintain gameday equipment and supplies, including nets, branded canopies, and related materials.
  • Monitor and help maintain safe, clean, and functional athletic venues through regular inspections and coordination with Facilities Planning and Management.
  • Obtain annual quotes and coordinate rentals for portable restrooms, bleachers, and related event infrastructure.
  • Coordinate and secure game-day facilities for visiting teams, officials, and athletic events.

Home Game Operations & Event Coordination

  • Coordinate all setup, breakdown, and operational logistics for all home games and special events.
  • Coordinate athletics student assistant video/photo content team and conference video/stat broadcast operations.
  • Coordinate practice schedules, facility availability, home game ticketing operations, parking as well as complimentary ticket lists for athletic teams.
  • Develop and implement policies and procedures related to athletic event and game management operations.
  • Coordinate preseason meetings with athletic programs to review game-day expectations, operational procedures, and staff responsibilities.
  • Assist with the recruitment, hiring, training, scheduling, and supervision of student assistants supporting facility and game management, ticket operations, concessions, laundry/equipment operations, and event support functions.
  • Lead game management trainings and operational meetings and oversee student employee scheduling and timekeeping processes.
  • Oversee home game ticket operations, concession operations, and event staffing coordination.
  • Serve as a primary liaison with visiting teams and officials by providing campus access, parking permits, and event information.
  • Prepare and distribute game-day operational agendas and coordinate event logistics, including locker room access, facility security, officials’ accommodations, press row setup, and broadcast coordination in partnership with athletics communications staff.

Video and Stats Broadcast Coordination

  • Directly involved with the setup and scheduling of video and stats production for practices and home games. This includes working with video service providers (e.g., PlaySight, Spiideo, Trackman, Hudl) and integration into in-venue video displays.
  • Develop and implement policies and procedures related to video and stats production operations.
  • Assist with the recruitment, hiring, training, scheduling, and supervision of student assistants supporting video and stats production for practice and games.

Administrative Operations & Departmental Support

  • Collaborate regularly with campus departments and external partners to support departmental operations and maintain positive campus-community relationships. Coordinate operational needs with Facilities Planning and Management, Public Safety, and other university departments.
  • Assist in the development and monitoring of budgets related to game-day management activities. Oversee work orders, facility service requests, special event support requests, and departmental key requests.
  • Support departmental and special events, including but not limited to Student-Athlete Awards programs, Hall of Fame events, alumni activities, and CCAA/NCAA postseason competitions hosted by the University

Other Functions:

Perform other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • General knowledge of athletics administration principles.
  • Working knowledge and understanding of athletics department financial management, event coordination, and athletics regulations.
  • Working knowledge and skill in applying and interpreting National, NCAA, and Conference rules and regulations, as well as university policies, standards, and guidelines. Ability to make recommendations based on interpretations and principles of athletics professional practices.
  • Demonstrated communication and interpersonal skills to effectively present information and produce clear and concise reports and communications.
  • Public and internal relations skills to effectively partner with a large and diverse group of internal and external stakeholders.
  • Strong analytical and organizational skills to organize, prioritize, and facilitate the successful completion of athletic events within time and budget constraints.
  • Demonstrated competence in independently applying judgment to resolve complex problems and issues.
  • Organizational skills to plan, organize, and prioritize work.
  • Ability to work independently and as part of a team with a service-oriented approach.
  • Flexibility to adapt to changing priorities and deadlines.

  • Computer proficiency and ability to appropriately use technology, relevant administrative tools, and software packages as required.

MINIMUM QUALIFICATIONS:

Equivalent to a bachelor's degree in a related field and two years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

SPECIALIZED SKILLS:

  • Experience coordinating athletic facilities, home game operations, and event logistics in a collegiate athletics or related environment. Ability to independently manage multiple priorities, coordinate complex schedules, and support athletic events and special programs with minimal supervision.
  • Working knowledge of NCAA and conference rules, athletics operations, facility scheduling, ticketing, concessions, and event management procedures. Experience developing and implementing operational procedures related to athletic facilities and game management.
  • Experience utilizing facility scheduling and event management systems such as 25Live and coordinating operational support services for practices, competitions, and special events.
  • Ability to recruit, train, schedule, and provide lead work direction to student assistants and temporary event staff.
  • Knowledge of athletics video, livestream, and statistics platforms such as Hudl, Spiideo, PlaySight, Trackman, StatBroadcast, or similar systems.
  • Strong organizational, communication, customer service, and problem-solving skills with the ability to effectively collaborate with campus departments, coaches, officials, vendors, and external partners.
  • Ability to work evenings, weekends, and holidays in support of athletics competitions and events.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

  • Experience working in collegiate athletics, athletics operations, facilities management, event management, or a related field.
  • Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student or finance systems; Microsoft Office Suite; Google Workspace; 25Live; shared drive systems; and internet-based applications.
  • Experience supporting NCAA or conference home game operations, postseason events, livestream/statistical broadcasts, or athletics-related special events.
  • Experience supervising and training student employees or event staff.
  • Knowledge of NCAA, conference, and university policies and procedures related to athletics operations and event management.
  • CPR, First Aid, and AED certifications are desirable.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks.  Position requires working at a computer and desk for extended periods of time. Requires travel between campus offices and off-campus locations.
