Department

Cal State Fullerton's College of the Arts is distinguished by its fully accredited department of Visual Arts. Fine arts, new media, and design programs provide quality learning to 1,600 undergraduate and graduate students within state-of-the-art studios, classrooms, computer and design labs, and galleries. We seek an exceptional individual to join our team as the Arts Administrative Support Assistant II.

Duties and Responsibilities

The Arts Administrative Support Assistant II provides direct clerical and administrative support for undergraduate and graduate students and faculty, department operations, academic program needs, student assistants, tours and special events, health and safety needs, degree advisement documents, and catalog and accreditation data. Interacts with administrators, staff, faculty, students, and off-campus personnel to ensure high-quality customer service. Problem solves with office staff, graduate assistants, and student assistants. Provides receptionist and other department support. The Administrative Support Assistant provides front-office and general clerical support for all students, staff, faculty, and community visitors. Assesses student needs and offers creative and accurate solutions. Assists with the logistics of meetings and events. Under general supervision, provides students help with faculty office hours, advising appointments, Outlook/Google calendars, routine scheduling, scheduling models for classes, guest speakers, and student club events; and assists with directing work to the department community and student assistants. Communicates regularly with Art Office staff and Department Chair. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

Notice of Availability of the Annual Fire Safety Report (AFSR)
In addition, pursuant to the Higher Education Opportunity Act, the Annual Fire Safety Report (AFSR) is also available for viewing. The purpose of this report is to disclose statistics for fires that occurred within California State University, Fullerton housing facilities for the last three (3) calendar years, and to distribute fire safety policies and procedures intended to promote safety on campus.
