Job Summary

The Event Coordinator is responsible for planning, organizing, and executing a variety of events within the serene and beautiful garden setting. This role involves sales, event planning, and clerical duties to ensure the smooth operation and success of each event. The ideal candidate is detail-oriented, customer-focused, and possesses excellent organizational and communication skills.

Key Responsibilities

  • Event Coordination and Planning - Coordinate all aspects of event planning, including layout, timeline, and logistics.
  • Recruiting and Closing Prospective Clients - Collaborate with clients to understand their event vision, objectives, and requirements. Respond to incoming rental inquiries by email and phone.
  • Event Scheduling and Administrative Tasks - Utilize University EMS Event Management System to schedule event spaces. Obtain approvals needed for exceptions, special requirements, or parking needs.
  • Vendor Relations - Negotiate basic terms of vendor agreements.

Knowledge Skills and Abilities

Proven track record of meeting sales targets and delivering successful events. Excellent communication and interpersonal skills. Strong organizational and time management abilities. Ability to work flexible hours, including evenings and weekends, as required by event schedules. Demonstrates a commitment to providing exceptional service and creating memorable experiences for clients. Ensures all aspects of event planning and execution are meticulously handled. Effectively addresses challenges and finds solutions to ensure event success. Works well with colleagues, vendors, and clients to achieve common goals. Adapts to changing circumstances and remains calm under pressure.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Bachelor’s degree in Event Management, Hospitality, Business, or a related field, or equivalent experience required.

• Minimum of 3 years of experience in event planning, sales, or a related role required, 5 years preferred.

Physical Summary

  • Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

Licenses / Certificates

Certified Meeting Planner (CMP) or a similar certification is preferred but not required.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $4,598 - $6,458 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,598 - $8,318 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
