Job Summary 

Under the general supervision of the Faculty Affairs Director, the Receptionist/Office Assistant greets and provides courteous service to students, faculty, staff and other visitors, and assists with routine administrative tasks for Faculty Affairs.

Key Responsibilities

  • Serves as receptionist for the Faculty Affairs office - Operates as the front desk representative. Greets and provides courteous customer service to visitors, including faculty, staff, administrators, students, parents, community members, and vendors. Uses initiative to inquire and find answers to specific questions, providing maps and directions, accepting delivery of office supplies, documents, referring customer(s) to the appropriate staff member(s) in the department or other departments on campus to solve problems or concerns.
  • Assists the Faculty Affairs department with clerical duties - Distributes incoming mail and processes outgoing office mail when appropriate. Serves as primary timekeeper for the Faculty Affairs Unit. Obtains approvals for time sheets and enters time in the payroll system by designated deadline dates.

Capable of handling multiple tasks efficiently and flexibly. Highly dependable and punctual with excellent time management skills. Ability to take initiative and problem-solve. Adept at managing phone interactions according to protocol. Possesses strong communication skills, both oral and written, with a thorough understanding of English grammar, spelling, and punctuation. Ability to maintain confidentiality of sensitive information. Knowledge of standard office procedures and software (MS Office Suite), Internet, Outlook, Teams. Demonstrates strong teamwork skills.

Education and Experience

Equivalent to three years of administrative support experience required.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $3,680 - $3,700 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
