Job Summary 

Under the direct supervision of Department Chair(s), the incumbent provides administrative support to department chair and faculty, assists in student inquiries, and serves as receptionist to academic departments.

Key Responsibilities

  • Provide administrative support to the Department Chair(s) - Under Department Chair’s instructions, input class schedule information into the system for graduate and undergraduate programs, reserve rooms for classes, and make changes as necessary. Track department, Undergraduate Programs Committee, and Graduate Programs Committee meeting minutes that are related to curriculum and catalog changes.  Be proactive on completing forms of curriculum and catalog changes into Curriculog by the deadlines as needed.
  • Provide administrative support to faculty and lecturers - Answer faculty inquiries in accordance with policies and procedures.  Inform faculty any changes in policies and procedures. Duplicate and collate instructional materials for faculty.  Assist faculty in the preparation and submission of work requests.  Communicate timely with faculty the status of their work requests.
  • Serve as Receptionist - Answer in-coming calls in a friendly and professional manner. Greet and welcome visitors including students.  Arrange parking for off-campus visitors.
  • Direct or indirect supervision of graduate assistants and student assistants - Maintain and update student workers’ work schedules. Assist in hiring student workers.  Obtain necessary hiring documents required by HR and Payroll offices.

Knowledge Skills and Abilities

Establishes and maintains good working relationships with faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices. Ability to perform moderate clerical tasks involving independent judgment, accuracy, and speed. Working knowledge of Windows, Word, e-mail, spreadsheet, and databases. Working knowledge of writing skills and oral communication skills.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

Equivalent to four years of administrative support experience required.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,864 - $6,072 per month.

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
