
Job Summary
To serve as the Assistant Module Lead for the Academic Advising Systems module in support of the Common Management System (CMS) Student Administration. This position is responsible for maintaining stable, efficient, and accurate Advising and E-Advising systems (such as Degree Planner and EAB) to fulfill the university's student success goals and initiatives. Duties include general module support and processing; project implementation support; in depth system testing, analysis, and troubleshooting; issue triage; security maintenance; and end user documentation and training. Furthermore, the incumbent provides services that are equitable, inclusive, and culturally sensitive to enhance the quality of campus life. This position uses a student-centered and equity-minded approach in all communication and service efforts.
Key Responsibilities
- Module Support: Assists with systems implementation, testing, set up, data validation, configuration, and maintenance. Coordinates Academic Advising related processing such as degree clearing, degree audit, and timely graduation. Performs troubleshooting and quality control assurance. Performs data analysis and clean up of reporting files associated with Student Records: Assists Records & Advising Systems leadership with systems implementation, testing, table set-up, data validation, configuration updates, and maintenance.
- Module Testing and Coordination: Test and validates updates and fixes to Academic Advising and Student Records student information systems such as PeopleSoft Campus Solutions and third-party products: Reviews and analyzes release notes and/or policy changes associated with Oracle, CSU, and third-party vendors with Module Leads/Assistant Registrars and Associate Registrar to forecast potential impacts.
- Security, Documentation/Training, and Communications: Coordinates and maintains security access to the Student Administration System, CS-Link, and third-party systems. Documents business processes. Creates and delivers training courses. Primary contact for user inquiries: Acts as lead expert for all Student Records- and Academic Advising-related security maintenance, ensuring continuity across cross-functional and cross-module areas.
- Other duties as assigned: Assists in the development of pertinent updates and training in specialized areas (e.g., policy and/or legislative changes).
Knowledge Skills and Abilities
Knowledge of student information systems and academic advising and/or student records (e.g., enrollment, grading). Functional understanding of database structures, information systems, cloud-based systems and data extraction. Excellent analytical skills and experience troubleshooting and resolving complex system-related issues.
• Demonstrated ability to analyze and evaluate situations and data, make accurate recommendations on appropriate course of action, leading to the development, implementation, and/or improvement of administrative policies, procedures, practices, and/or programs. Demonstrated ability to interpret and apply academic and administrative policies and procedures. Demonstrated ability to organize and plan multiple priorities and to carry out assignments without detailed instructions. Knowledge of and ability to use: MS Word, MS PowerPoint, MS Excel, Camtasia Studio, Visio, Service Now software. Ability to analyze user needs and translate into appropriate complex rules in support of business processes.
Able to learn new systems and feature updates quickly and translate to communications, tutorials, and documents that are applicable and easy to understand for campus users, especially advising and support staff. Proven technical writing experience of software documentation. Excellent communication skills, both verbal and written. Demonstrated ability to create and deliver effective program documentation, communication, and training materials, both online and in person. Communicates with the University community in a civil manner.

Maintains a safe work environment. Ensures operational integrity and continuity by maintaining detailed descriptions of responsibilities, ranging from daily tasks to strategic activities and outcomes, and makes them available to supervisor. Education and Experience
- Equivalent to a bachelor's degree in a related field and two years of related experience required.

Compensation
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
Hiring Range: The hiring range for this position is $4,425 - $5,240 per month commensurate with candidate's education, experience, skills, and training.
CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,879 - $7,488 per month.
