Job Summary

Under the direction of the Service Response Supervisor, assists in general administrative support for Beach Building Services Service Response team, which includes event management, key issue, and front office reception area. 

Key Responsibilities

  • Customer Service - Provides excellent customer service to faculty, staff, administrators, students, vendors, and others; maintains the highest responsibility for courteous and helpful customer service practices. Assists in answering telephones calls, enters as work orders into PlanOn. Helps review voice mail periodically throughout the day for messages.
  • Work Orders and Events - Helps assure all necessary information is provided including correct account billing, etc. If any information is missing or incomplete - interact with the event administrator or requestor, to obtain required information. Aids in review of events, work orders, and projects event Facilities Usage Fees billing; supporting any specific estimates, reporting any changes and/or cancellation.
  • Keys - Provides back up to key issue services during absences and peak periods. Assist in renewing keys at the end of semesters, file keys and key cards when there is a backlog.
  • Provide administrative support and assistance to Facilities Management managers and staff.

Knowledge Skills and Abilities

The ideal candidate possesses strong computer proficiency, including working knowledge of spreadsheet and word processing programs, and the ability to quickly learn and utilize in-house maintenance and campus event management systems. They demonstrate excellent oral and written communication, interpersonal, and customer service skills, with proven experience in customer-focused environments. The candidate is adept at multitasking and prioritizing projects, working effectively under pressure, and adapting to changing client needs. They are comfortable using various paging systems and multi-line phones, and can communicate professionally with individuals at all levels of the organization. Exceptional organizational skills, creative thinking, and the ability to engage with diverse groups are essential, along with the flexibility to work nights and weekends as needed.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to one year of administrative support experience required.

• Bachelor's degree is preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Licenses / Certificates

• Valid California driver's license preferred.

Employees who are required to operate motorized vehicles and/or use their personal vehicle more than once a month on university business are required to take a mandatory Defensive Driving course and enroll in the DMV Employee Pull Notice (EPN) Program.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $4,517 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
