Job Summary

The Administrative Assistant supports all aspects of the Engineering Student Success Center (ESSC) by providing a full range of administrative support duties for the programs associated with student success which includes assisting with front office coordination, assisting with basic advising administrative tasks, website and publications coordination, coordination of events, and supervision of student helps.

Key Responsibilities

  • Supervise and coordinate front office in-person and online functions under the direction of the Associate Director of Academic Advising and the Director of Outreach and Recruitment, to ensure that the ESSC is customer friendly, and the front offices are optimized. This duty includes supervision of student assistants hired to support the unit.
  • Assist the advising office with basic administrative tasks such as removing advising holds, facilitate advising procedures and support advisors during SOAR events.
  • Assist with the production of on-line and other event publications for Academic Advising, K-12 Outreach and Recruitment, Professional Development & Internship, and Academic Success Programs. This includes, but not limited to proof reading, typing, copying, updating, distributing and organizing publications, and provide assistance in updating website content.
  • Assists in the coordination of workshops, dinners/banquets, and meetings; researches and selects locations for ESSC events secures facilities and catering for events; arranges and coordinates of ordering buses for related field trips. This includes, but not limited to taking reservations, sending out invitations, processing name tags, etc.

Knowledge Skills and Abilities

The ideal candidate demonstrates strong computer literacy, as the position requires navigating and adapting to evolving software programs used for daily tasks and departmental forms. Equally important is the ability to work collaboratively and effectively within a diverse community, fostering positive relationships among faculty, staff, and students to support a cohesive and inclusive departmental environment.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

Equivalent to three years of administrative support required.

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,565 (Step 1) - $5,092 ( Step 19) per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
