Job Summary

Under the general direction of the Benefits Services Manager, the Benefits Services Assistant provides administrative and clerical support to the Benefits Services Manager and Benefits Coordinators in the daily operations of employee benefits administration. This position assists with processing benefit transactions and conducting related audits to help ensure accuracy and compliance with established guidelines. The role supports benefit program activities by assisting employees with completing required forms, responding to routine inquiries, and providing general information. When necessary, the assistant helps facilitate communication with the CSU Benefits Office, State Agencies (CalPERS, SCO), and plan providers under guidance.

The position also assists with maintaining data integrity in the PeopleSoft Benefits Module and supports Affordable Care Act (ACA) reporting requirements by running reports and verifying data in PeopleSoft and PIMS. Additionally, the assistant provides support for the Common Human Resources System (CHRS) Benefits Module by participating in status calls, data standardization, testing, and implementation activities as directed. This position handles confidential and sensitive employee data and follows established security protocols.

Key Responsibilities

  • Assists with PeopleSoft and Benefits Administration processes, including operations, benefits enrollment, and maintenance of employee benefits data. Supports data entry and updates in PeopleSoft for benefits-related information under the direction of the Benefits team. Assists with activities related to the quarterly Dependent Eligibility Verification (DEV) process. Helps run and review error reports and makes corrections as instructed to ensure accuracy and compliance.
  • Assists in responding to benefits-related phone calls and emails in a timely and accurate manner by providing information or routing inquiries to the appropriate team member. Provides backup support to other Benefits team members as needed to ensure smooth operations and continuity of service.
  • Assists with Affordable Care Act (ACA) data entry, enrollment, and tracking activities. Supports ACA/SCO server data entry functions and helps review data for accuracy and completeness to maintain integrity for federal reporting requirements. Provides assistance in meeting key deadlines by entering ACA benefits enrollments into Employee Benefits Administration and updating Workforce Administration as directed.

Knowledge Skills and Abilities

The ideal candidate will have strong knowledge of HR and personnel practices, particularly in benefits administration, and demonstrate the ability to perform all key responsibilities with accuracy and efficiency. They should possess excellent organizational skills to manage multiple projects, prioritize tasks, and meet deadlines, along with proficiency in data entry and attention to detail. Effective verbal and written communication skills are essential, as is experience using PeopleSoft HR systems to run processes, monitor completion, and interpret results. The candidate should be a collaborative team player with outstanding interpersonal skills, capable of working independently while following direction, and contributing meaningfully to the organization’s growth. Experience in a diverse academic environment is preferred, along with the ability to share responsibility for team goals and deliver results.

Education and Experience

• Equivalent to three years of administrative support experience required.

• Bachelor's Degree preferred.

• Working knowledge of PeopleSoft functionality preferred.

• Prior experience working with employee benefits or payroll is a plus.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,565 (Step 1) - $5,092 (Step 20) per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment  

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
