PURPOSE:

Under the direct supervision of the Director of Admissions and Recruitment, the Admissions Evaluator serves in support of all Extended Education and International programs. The incumbent processes domestic and foreign student applications, determines eligibility for admission, and evaluates and posts all transfer credit from other institutions.  The incumbent will also aid in the organization and processing of application documents.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  1. Fully performs admission functions to include eligibility checks at first year and transfer levels of domestic and foreign undergraduate admission according to the CSU Chancellor's Office for degree and certificate programs offered by the Extended Education and International degree programs. Advise and assist applicants and potential applicants regarding the eligibility of requirements and related matters using resource material to resolve a wide variety of unique and complex problems.
  2. Independently evaluate transfer credits, organize and interpret transfer credits as they apply to university curricula, including explaining and interpreting to students and preparing course by course evaluation summaries. 
  3. Make evaluation recommendations regarding placement of credit by using the academic credit and the degree auditing program. Use protocol and conventions for optimal placement of courses or credit awarded for military work, tests, credit for prior experience and other work from non-traditional sources. Process, record, and disseminate degree requirements to students, faculty and staff to assess transfer credit and to assess completion of degree requirements. Analyze and research student academic needs and related problems to authorize and implement services to make appropriate recommendations for change to the responsible individuals, using increasing levels of judgment to resolve a wide variety of unique and complex problems.
  4. Assists the Extended Education Coordinator and the Senior Admissions International Recruiter in establishing admissions timelines & processes for the assigned programs, assists with maintaining the CSU Application website and updating communications to applicants, and maintains student dashboards.
  5. Complete transcript searches, education page updates, and assist in processing auto admissions batches.

Other Functions:

Performs other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge of the format and interpretation of course records and transcripts of institutions of higher education; knowledge of authenticating course credits and comparing records of differing formats, such as foreign records; knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of the application of campus resources guidelines for making determinations using various criteria.

Ability to be thorough, consistent, and accurate in the interpretation of records against criteria; ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process; ability to maintain resources that document and update criteria; ability to explain criteria and evaluations to others; ability to make accurate records; ability to organize work to meet deadlines; ability to safeguard the confidentiality and security of records.

MINIMUM QUALIFICATIONS:

Equivalent to completion of a formal training program in academic records evaluation or one year of academic records evaluation experience or any 12-month combination of training and experience related to academic records evaluation.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

Thorough knowledge of, and ability to carry out, the policies, procedures, requirements and practices of fee-based testing services.  Maintenance of proctoring certification required by testing companies and/or the CSU.  Familiarity with an array of technology from communication with remote instructors, students and test taking technologies, hardware, software, platforms, and learning systems to support hybrid and online students. Ability to foster and support multicultural competence as demonstrated through knowledge, skills and abilities.

Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student/finance information system; Microsoft Office Professional Suite, and Google mail and calendaring programs.

  • This position has been designates as a sensitive position with access to and responsibility for detailed personally identifiable Level 1 confidential information about students, faculty, staff or alumni that is protected, personal or sensitive as defined in the CSU Information Security Data Classification Standards
  • This position is designated as a Campus Security Authority (CSA) and will be required to participate in annual training and to immediately forward to the Clery Director all reports of crimes brought to their attention pursuant to the Clery Act and California State Education Code, Chapter 16, of the Donahue Higher Education Act, Section 67380.
  • May require occasional evenings and/or weekend work.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks.  Position requires working at a computer and desk for extended periods of time. Work environment may include administering test at other CSUMB instructional sites including North Salinas, Salinas City Center, and South Monterey County. Requires travel between campus offices and off-campus locations.
