Major Duties

Under general supervision, the Administrative Support Coordinator supports the SSC/EOP office by assessing student needs, scheduling advising appointments, and managing databases and web forms such as myCSUNbox. It ensures proper processing of student forms, oversees daily operations through the EAB Navigate platform, and coordinates student outreach events and initiatives. Additional responsibilities include maintaining accurate and detailed budget records, tracking expenditures, reconciling accounts, and managing purchase orders and requisitions. The role also involves liaising with various campus departments and external entities to promote comprehensive student support and enhance the overall student experience.

  • Provides direct administrative support to the SSC/EOP office by assessing student inquiries, assisting students in scheduling advisement appointments, and referring them to campus resources.
  • Manages daily operations via EAB Navigate, maintaining shared data and listservs for the College of Humanities.
  • Oversees databases and webforms, including myCSUNbox.
  • Coordinates and assists with logistics for SSC/EOP student outreach events and initiatives, including reserving rooms for group advisement workshops and EOP HUMN-LINK events.
  • Maintains detailed budget records, tracks expenditures from multiple funding sources, reconciles accounts, processes purchase orders, requisitions, and check requests.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.
  • Experience working with multicultural/multi-ethnic populations students that are historically underrepresented, under-prepared, low-income, and first-generation college students is preferred.
  • Direct experience with Educational Opportunity and/or TRIO Programs is highly desirable.

 

Knowledge, Skills, & Abilities

  • Demonstrated ability to provide comprehensive administrative support, including effectively assessing student inquiries, scheduling academic advising appointments, and referring students appropriately to various campus resources.
  • Proficiency with database management systems, including experience managing operations in EAB Navigate, maintaining shared data, listservs, webforms, and digital platforms such as myCSUNbox, along with processing forms and managing records with accuracy and attention to detail.
  • Ability to effectively recruit, hire, train, and supervise student and work-study assistants, including managing payroll processes, overseeing work schedules, and ensuring compliance with FERPA regulations and institutional policies.
  • Skilled in coordinating and facilitating logistics for student outreach programs and initiatives, including organizing workshops, preparing communication materials, proactively engaging with students, and representing the SSC/EOP office in committee assignments.

 

Pay, Benefits, & Work Schedule

  • Classification: Administrative Support Coordinator / 1035 / 1
  • The anticipated HIRING RANGE: $3864 - $4000 per month, dependent upon qualifications and experience. The salary range for this classification is: $3864 - $6072 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
