POSITION SUMMARY:

Under the guidance of the Operations Manager, the Facility & Guest Services Coordinator – The Valera NEST is responsible for overseeing the daily operations of The Valera NEST which includes managing facility operations, coordinating logistics, upholding customer service and facility standards and supervising University Student Union (USU) information desks operations and staffing. The coordinator works with on-campus entities to provide resources in a manner that destigmatizes the challenges students face and that assist in fostering student success, contributing to student development, inclusive practices, and service excellence.

ESSENTIAL DUTIES:

  • Oversee the day-to-day facility operations at The Valera NEST including ensuring a clean, functional, and welcoming environment for students, staff, and visitors;
  • Conduct regular facility inspections and coordinate with maintenance, custodial, and IT teams to resolve issues and support preventative maintenance;
  • Serve as primary contact for The Valera NEST building logistics, including reservations, security concerns, and emergency protocols;
  • Interpret and train staff on the delivery and communication of facility-use related policies and procedures; Assist in ensuring compliance with University Student Union and University policies and procedures;
  • Serve as a liaison to building tenants;
  • Coordinate logistics for activities, events, and rentals occurring in The Valera NEST;
  • Manage the inventory control and maintenance procedures for equipment and supplies;
  • Oversee software related to equipment in The Valera NEST (refrigerated lockers, people sensors, etc.) including troubleshooting and vendor coordination;
  • Track facility usage and desk activity metrics; compile reports to assess efficiency, resource utilization, and student impact.
  • Train, and supervise the work of approximately twenty (20) part-time student assistant employees, including monitoring performance; generating performance evaluations; and administering disciplinary action as needed;
  • Develop and implement trainings focused on customer service, basic needs support, and operational procedures;
  • Oversee USU and The Valera NEST front desk operations including staffing, ensuring consistent coverage, quality service delivery, and accurate information dissemination;
  • Perform various administrative assignments including but not limited to scheduling student assistant employees and monitoring, reviewing, and approving time cards;
  • Review and provide appropriate follow-up information contained in daily shift reports;
  • Conduct and lead regular daily, weekly, and monthly meetings with student assistant employees;
  • Collaborate on the development and assessment of student employee learning outcomes; oversee the development, implementation, and monitoring of activities ensuring the same;
  • Develop and update front desk manuals, shift checklists, and scheduling protocols;
  • Develop, implement and monitor The Valera NEST department annual operating budget including monthly reconciliations and generating financial reports; 
  • Perform a variety of project-related tasks in support of the Operations & Services area and USU facility as assigned;
  • Assist the Operations Manager in conducting comprehensive on-site safety inspections to ensure that all facilities and programs are conducted in accordance with approved policies & procedures;
  • Assist the Operations Manager in coordinating staff safety training activities and ensures that staff meets minimum qualifications, certification and standards required by individual job assignments;
  • Perform other related duties as assigned.

QUALIFICATIONS:

Education:
Equivalent to graduation from a four-year college or university preferably with a major in human services, sociology, political science, business, higher education administration, or a related field. 

Experience
Equivalent to a minimum of two years of professional-level experience in a job-related field preferably, in facility operations, student union and/or student activities with an emphasis in basic needs initiatives or student support.

Preferred Qualifications:
-Master’s degree.

-Experience supervising student employees.

Knowledge, Abilities and/or Skills:

  • Knowledge of facility and event management
  • Knowledge of budget development, financial management and fiscal responsibility
  • Principles of effective supervision, particularly as it relates to the training and development of college-age students
  • Strong knowledge of equity, inclusion, and trauma-informed care in student services
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
  • Knowledge of best practices in basic needs programming (e.g., food insecurity, housing instability, emergency aid)
  • Working knowledge of basic student needs and resources
  • Knowledge of safety rules and regulations relative to the management of a facility
  • Knowledge of computer hardware/software operation
  • Interpret, apply, and comply with University and USU rules, regulations and policy and procedures
  • Establish management goals, facilitate change, and implement innovative programs and services
  • Compile, prepare, write and review reports as well as comprehend, analyze, and provide appropriate solutions to problems and recommend courses of action
  • Coordinate the timely completion of multiple tasks

WORKING CONDITIONS:

Work is typically performed in both a temperature-controlled office environment and an outdoor environment, occasionally in extreme weather conditions.  Depending on the time of year, average temperatures may range from 50 degrees in winter to over 100 degrees in summer.  Position requires the ability to work under pressure and adhere to tight deadlines.

SUPERVISION EXERCISED:

This position supervises the Student Guest Services Assistants.

PAY, BENEFITS AND WORK SCHEDULE:

This position is employed through University Student Union (USU). The USU offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The anticipated hiring range will be as follows and is dependent on experience and qualifications:

Hourly:                $29.32 - $31.25

Bi-Weekly:           $2,2346.00 - $2,500.00

Annually:             $60,996.00 - $65,000.00

The salary range of the position is as follows:
Hourly:               Minimum: $29.32             Maximum:  $41.70

Bi-Weekly:          Minimum: $2,346.00       Maximum:  $3,336.00

Annually:            Minimum: $60,996           Maximum:  $86,736
