Major Duties

Under general supervision, the Clinical Support Coordinator plays a key role in client-facing services, appointment scheduling, electronic record coordination, and client confidentiality adherence. The incumbent supports clinicians and staff through administrative assistance, records processing, payroll and travel functions, and coordination of suicide prevention training and continuing education programs.

  • Shares front office duties, including greeting visitors, scheduling appointments, and answering of a high level of phone calls regarding services available, academic inquiries, etc.
  • Responsible for the maintenance of all client charts and works closely with UCS’ Clinical Coordinator on the processing of client record requests.
  • Reviews all-time entry sheets and travel documents for accuracy and compliance with department and campus policies.
  • Works with QPR Facilitators on QPR Suicide Prevention Training Sessions (campus-wide training program).Serves as the main support for the department’s APA Sponsored Approved continuing education programming.
  • Must have good multi-tasking and time management skills, shifting from task to task efficiently while maintaining an outwardly calm and professional presence to distressed students.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.
  • Experience working with sensitive documents and dealing with students, staff, and faculty who may be in distress is preferred.

 

Knowledge, Skills, & Abilities

  • Knowledge of front office and customer service practices within a confidential clinical or student services environment. Ability to communicate clearly and professionally with diverse students, faculty, staff, parents, and community members; respond to high-volume phone and in-person inquiries; schedule appointments; confirm service eligibility; and provide accurate information while maintaining strict confidentiality.
  • Ability to multitask, prioritize, and exercise sound judgment in a fast-paced setting, including responding calmly and sensitively to individuals in distress. Skill in triaging urgent situations, supporting clinical staff, assisting clients with electronic systems and virtual platforms, and maintaining an organized, welcoming reception area while ensuring accuracy, discretion, and professionalism.
  • Knowledge of electronic medical record systems and records management practices within a confidential healthcare or counseling setting. Ability to create, maintain, and update client charts; process Release of Information forms accurately; prepare approved records for release; and safeguard sensitive information in compliance with privacy and confidentiality requirements.
  • Ability to coordinate complex records requests by applying attention to detail, sound judgment, and effective communication. Skill in collaborating with clinical coordinators, psychiatrists, pharmacists, and campus partners; troubleshooting prescription-related issues; securely communicating with clients; and ensuring timely, accurate distribution of counseling and medical records.

 

Pay, Benefits, & Work Schedule

  • Classification: 1035 / Administrative Support Coordinator / 1
  • The anticipated HIRING RANGE: $4047 - $4295 per month, dependent upon qualifications and experience. The salary range for this classification is: $4047 - $5896 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 days remote); however, this is subject to change based on student and/or operational needs.
