POSITION SUMMARY:

Under the guidance of the Assessment Coordinator and as a member of the Administration team, the Assessment & Administration Assistant is responsible for providing administrative and technical support for corporate-wide assessment initiatives and administration functions; assisting with survey administration, data entry and organization, records management, and preparation of basic reports and visual materials; supporting digital communication platforms, scheduling, documentation, and general office operations in support of USU departments.

ESSENTIAL DUTIES:

  • Assist the Assessment Coordinator with the development, testing, distribution, and monitoring of surveys and other assessment tools;
  • Enter, update, and maintain assessment data in spreadsheets, databases, and tracking systems; maintain the USU assessment calendar;
  • Organize and maintain assessment records, including instruments, raw data, reports, meeting materials, and documentation;
  • Schedule meetings, prepare agendas, record and distribute meeting minutes using standardized formats;
  • Assist with conducting focus groups and interviews, including transcription of raw data;
  • Provide written assessment updates to internal partners and stakeholders, including progress reports, response rates, and status updates;
  • Create data reports and executive summaries as assigned;
  • Assist with creating infographics and visual presentations to communicate findings to staff, leadership and stakeholders;
  • Provide recommendations to the Assessment Coordinator for next steps based on assessment results as assigned;
  • Submit findings for Executive Director reports as assigned; Complete simple-to-complex typing assignments;
  • Correspond with internal partners via e-mail and telephone;
  • Utilize Microsoft applications including Outlook, Word, Excel, PowerPoint, Power BI, Teams;
  • Edit, input, review and maintain information into systems such as Qualtrics, Anthology, Canva, Priority Matrix, Google Sites;
  • Upload documents, forms, data, and guidelines for digital internal use;
  • Assist in coordinating content migration projects and the implementation of updates or features on the USU Intranet;
  • Maintain and update Intranet content to ensure accuracy, relevance, and compliance with organizational standards;
  • Assist in designing and building interactive data dashboards to visualize key metrics and trends;
  • Gather, organize, and validate data from multiple sources to ensure reporting accuracy and consistency;
  • Assist with the collection and tracking of mid-year and year-end goal updates and metrics; prepare data for inclusion in the annual report for Student Affairs;
  • Assist with entering and updating USU strategic goals in Anthology and other tracking systems;
  • Conduct research as assigned by the Coordinator, Manager, Associate Director, Executive Director or Executive Management Team;
  • Research emerging assessment trends and practices to support continuous improvement of USU assessment processes and department initiatives;
  • Assist with tracking assessment findings over time and identifying trends;
  • Perform other related duties as assigned.

QUALIFICATIONS:

Education:

Equivalent to full-time college or university education/vocational school training in a job-related field may be substituted for up to two years of the required experience.

Experience:

Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed. Equivalent to six (6) months professional-level experience managing assessment projects and corporate program and/or accreditation reviews may be substituted for up to one (1) year of the required experience.

Preferred Qualifications:

-Experience designing, implementing, and analyzing varying methods of assessment

-Experience maintaining digital files for databases and online platforms (e.g., websites, dashboards, Intranet)

Knowledge, Abilities and/or Skills:

  • Demonstrated commitment to valuing justice, equity, diversity, and inclusion, and contributing to an inclusive working and learning environment
  • Thorough knowledge of English grammar, spelling and punctuation
  • Basic knowledge of assessment culture, practices, and basic research methods
  • Basic knowledge of assessing student learning outcomes in co-curricular and/or beyond-the-classroom learning environments
  • Knowledge of data collection tools and analysis programs (e.g., Qualtrics) and the ability to support survey administration and reporting
  • Demonstrated fluency in using Microsoft Office Suite and standard computer hardware/software systems
  • Ability to support assessment activities such as focus groups, interviews, surveys, and other data-gathering methods
  • Ability to compile, interpret, and summarize information, data, and outcomes to support decision-making and program improvement
  • Ability to analyze problems, identify trends, and recommend appropriate solutions or courses of action
  • Demonstrated experience conducting research and gathering information to produce actionable insights and support strategic planning
  • Demonstrated competence in communicating effectively both verbally and in writing, including explaining assessment concepts to diverse audiences
  • Ability to deliver presentations on initiatives, programs, services, and assessment outcomes
  • Ability to provide high-quality customer service and maintain effective, positive working relationships
  • Ability to work effectively as a member of a team to achieve established goals
  • Ability to work independently under general supervision and exercise good judgment in completing assignments
  • Ability to manage multiple tasks, competing priorities, and deadlines in a fast-paced environment
  • Demonstrated experience supporting administrative functions, including scheduling, file management, data entry, and note-taking
  • Ability to interpret and apply university and USU policies, procedures, rules, and regulations
  • Ability to follow verbal and written instructions with accuracy and attention to detail
  • Ability to adapt to changes in the work environment, shifting priorities, and evolving program needs
  • Ability to work varying hours, including early mornings, evenings, and weekends as needed

WORKING CONDITIONS:

Work is generally performed indoors in a temperature-controlled office environment. Ability to work under pressure and adhere to deadlines. Must be flexible with the ability to adapt readily to change. Regular contact with students and staff required.

PAY, BENEFITS AND WORK SCHEDULE:

This position is employed through University Student Union (USU). The USU offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The anticipated hiring range will be as follows and is dependent on experience and qualifications:

Hourly: $23.41 - $24.52

Bi-Weekly: $1,872.92 - $1,961.54

Annually: $48,696.00 - $51,000.00

The salary range of the position is as follows: 

Hourly:                Minimum: $23.41           Maximum:  $38.38

Bi-Weekly:           Minimum: $1,872.92       Maximum:  $3,070.62

Annually:             Minimum: $48,696.00     Maximum:  $79,836.00
