Major Duties

Under general supervision, the Administrative Analyst coordinates student employment, payroll, and financial operations while analyzing data, preparing reports, and supporting procurement and travel activities. The incumbent provides guidance on policies and procedures and contributes to operational continuity through administrative, fiscal, and logistical support functions

  • Administers and analyzes student employment program operations, including personnel processing, payroll coordination, and fiscal monitoring of student employment and Work Study funds.
  • Reviews and evaluates student employment documentation (hiring forms, evaluations, pay increases, Work Study awards, and monthly timesheets) to ensure completeness, accuracy, and compliance with campus policies and procedures.
  • Coordinates student payroll processing activities by reviewing, validating, and entering payroll data within the Library database and campus payroll systems, ensuring accuracy and compliance with established policies and procedures.
  • Monitors student employee payroll expenditures and budget allocations, prepares projections, and tracks and reviews departmental spending to ensure alignment with approved student employment budgets.
  • Coordinates administrative financial operations related to procurement, travel, and accounts processing in support of Library operational needs.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to graduation from an accredited four-year college or university in a job-related field.
  • Equivalent to two (2) years of full-time, technical, analytical, or administrative experience.
  • Additional experience in job-related field may be substituted for required education, on a year for year basis.

 

Knowledge, Skills, & Abilities

  • Comprehensive knowledge of student employment program administration, including personnel processing, payroll coordination, and Work Study fund management. Understanding of financial tracking, budget monitoring, and reporting practices, along with applicable policies and procedures governing payroll, student employment, and campus compliance requirements.
  • Demonstrated ability to analyze program data, evaluate documentation for accuracy and compliance, and prepare detailed financial and operational reports. Strong organizational skills to track expenditures and maintain records, with the ability to provide clear guidance, training, and support to stakeholders across multiple functional areas.
  • Working knowledge of procurement processes, accounts processing, and travel coordination within a regulated environment. Familiarity with financial systems (e.g., P2P platforms), purchasing methods, and documentation requirements, along with policies governing procurement, hospitality, and Foundation-related transactions.
  • Ability to review and evaluate financial requests for accuracy, completeness, and policy compliance. Strong coordination skills to track purchase orders, service requests, and travel activities, ensuring timely processing and proper documentation while supporting efficient operations and adherence to institutional guidelines

 

Pay, Benefits, & Work Schedule

  • The anticipated HIRING RATE is $ 4799 – $ 5405 per month, dependent on qualifications and experience. The salary range for this classification is: $ 4799 - $ 6992 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.
