POSITION SUMMARY:

Under the guidance of the Operations Manager, the Operations Supervisor is responsible for performing a wide variety of duties associated with ensuring the execution of day-to-day operations of the University Student Union’s (USU) Facilities Operations department, including event, equipment, and facility management.

Position encompasses a trainee level (Range A) and a fully developed working level (Range B). While the duties performed at both levels will be similar, employees possessing little or no experience will be placed in Range A and will function, with closer supervision in a trainee capacity for six to twelve months (depending on job performance).  Employees in Range B will be expected to perform with greater independence and under general supervision the full scope of duties encompassed in this job description.       

ESSENTIAL DUTIES:

  • Train, and supervise the work of approximately eleven (11) part-time student assistant employees, including monitoring performance, generating performance evaluations, and administering disciplinary action as needed;
  • Supervise day-to-day operations of the Facilities Operations department; monitor and maintain appropriate staffing levels based on the varying volume of activities occurring in the facility;
  • Review and provide appropriate follow-up information contained in work order requests, daily shift reports, and incident reports;
  • Conduct and lead regular daily, weekly, and monthly meetings with student assistant employees;
  • Assist in developing training materials and presenting trainings to student assistant employees;
  • Perform Facilities Operations student assistant employee duties as necessary due to unforeseen absences, staff shortages, etc.;
  • Oversee and assist with opening and closing the USU facility and its meeting and event rooms, providing on-site facility and event supervision, and staying alert to safety and security issues and reporting them appropriately;
  • Oversee all scheduled events, ensure rooms are properly set up and opened and closed in accordance with customer requests, and that event sponsors, and event coordinators are aware of and comply with USU and University policy and procedure;
  • Assist with implementing and training staff on organization-wide emergency procedures; ensure practice of and serve as reference on safety/risk and emergency management procedures; review and make recommendations for updates to emergency procedures as needed;
  • Serve as a liaison to tenants, resolve or report concerns as appropriate, and maintain positive relations with tenants;
  • Complete facility, personnel, and department related projects as assigned;
  • Assist in maintaining inventory of all facility-related equipment; update inventory counts as needed; maintain equipment and monitor condition of equipment; work with vendors to facilitate the delivery of and/or repair of equipment;
  • Work as the Connect2 liaison and conduct training for the Facilities Operations department staff;
  • Assist in developing and recommending policies and procedures;
  • Assist in developing and monitoring student employee hour allocations and salary projections; track payroll expenditures and salary reports;
  • Assist in preparing statistical reports and operational metrics, including USU Executive Director reports to the Board of Directors and departmental performance reports;
  • Participate in University Student Union meetings and events;
  • Perform other related duties as assigned.

QUALIFICATIONS:

Education:
Equivalent to graduation from a four-year college or university with a bachelor’s degree in an applicable field.  Specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown below may be substituted for the required education on a year‑for‑year basis.

Experience
Professional full-time experience is not required for consideration.

Preferred Qualifications:
-One year of professional-level experience in a job-related field preferable working in a college union

-Experience supervising student employees and/or volunteers

Knowledge, Abilities and/or Skills:

  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
  • Interest and/or knowledge of student union facility operations
  • Ability to work effectively both individually and as a member of a team and effectively lead and supervise individuals and groups as required
  • Ability to work under general supervision and coordinate multiple tasks
  • General knowledge of event management
  • Ability to respond appropriately during emergencies and assist in coordinating emergency response procedures.
  • General knowledge of student development theory and desired outcomes

  • Ability to successfully communicate with students, faculty, staff, and subordinates
  • Ability to clearly express ideas and directions verbally and in writing, including attention to composition, punctuation, grammar, and spelling
  • Ability to prepare operational reports, analyze data, and make recommendations
  • Ability to pay close attention to detail

WORKING CONDITIONS:

Work is typically performed in a temperature-controlled environment.  Must be able to remain calm and composed in emergency or otherwise stressful situations.  Contact with members of the campus community and community-at-large required, including students, faculty, staff, administrators and the general public.  Must be able to lift, push or pull heavy equipment weighing up to 50 pounds unassisted.  Due to organizational needs, the position maintains a nontraditional schedule with modest fluctuation to provide coverage during special events. This includes early mornings, evenings and weekends. The typical work schedule will be Sunday 7:30am – 4:30pm and Monday – Thursday 6:30am – 3:30pm.

SUPERVISION EXERCISED:

This position supervises part-time student assistant employees including Student Building Managers and Student Operations Assistant

PAY, BENEFITS AND WORK SCHEDULE:

This position is employed through University Student Union (USU). The USU offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The anticipated hiring range will be as follows and is dependent on experience and qualifications:

Hourly:                $23.94 - $25.48

Bi-Weekly:           $1,915.38 - $2,038.46

Annually:             $49,800.00 - $53,000.00

The salary range of the position is as follows:
SALARY (TRAINEE - RANGE A):

Hourly:                Minimum: $ 23.94            Maximum: $ 29.28

Bi-Weekly:           Minimum: $ 1,915.38     Maximum: $ 2,342.77

Annually:             Minimum: $ 49,800.00   Maximum: $ 60,912.00

SALARY (NON-TRAINEE - RANGE B):

Hourly:                Minimum: $ 25.86            Maximum: $ 35.59

Bi-Weekly:           Minimum: $ 2,068.62      Maximum: $ 2,927.08

Annually:             Minimum: $ 53,784.00    Maximum: $ 76,104.00
