THE DEPARTMENT
The Office of Student Success provides leadership for multiple units focused on meeting the needs of Cal Poly Pomona's diverse student body. The Office of Student Success oversees the coordination of academic advising initiatives to achieve shared goals, and the development and implementation of academic intervention programs to help students make timely progress toward degree completion. Student Success provides oversight for academic and student success as related to academic policies, university advising, academic-related initiatives, and strategic planning. The office handles student petitions related to academic issues, including general academic petitions, retroactive withdrawals, grade appeals, academic renewal, and records the completion of culminating experiences. Student Success provides oversight for University Advising, the Bronco Advising Center, Student Communication, Advising Technology, Undeclared Advising, Early Alerts Programs, Graduation Pledge Programs, the Early Start Program, the Learning Resource Center; Bronco Tutoring; First Year Experience (FYE); Science, Technology, Engineering, and Mathematics Students United to Create a Community for Engineering and Science Success (STEM SUCCESS); Reading, Advising, and Mentoring Program (RAMP); and the University Writing Center. The office of Student Success collaborates with Academic Program, Enrollment Management Services, and College leaders to support students in meeting their academic goals.
DUTIES AND RESPONSIBILITIES
Bronco Advising Center Advising
- Provide timely, focused advising to all students to ensure that they stay on track to graduation and are able to successfully navigate university policies and procedures to meet their academic and career goals.
- In advising students, utilize a combination of high-level analytical and interpersonal skills, as well as independent judgment, when developing effective and creative solutions to student problems.
- Work with students (and parents, when appropriate) using strong communication skills to explain complex university policies, identify student needs, and provide direction in helping students obtain resources and navigate challenges.
- Collaborate with a broad range of institutional partners that include associate deans, department chairs, faculty and staff, Office of Student Success, Bronco Advising Center, University Advising, Registrar's Office, and supplemental advising programs (e.g., Athletics, Kellogg Honors College, etc.) to provide support to students, as well as provide appropriate referral to university resources (e.g., CAPS, DRC, Veteran's center).
- Use e-advising tools including CPP Connect (scheduling, note-taking, planner, etc.), Degree Progress Report, curriculum sheets, road maps, semester conversion tools, and others to advise students and educate them on academic planning.
- Maintain current knowledge of academic, admission, and registration policies and procedures.
- Provide accurate and timely maintenance of student petitions.
- Interpret and apply policies and procedures to provide students and families with appropriate guidance, information and transactional and referral services related to the academic and enrollment services offices.
- Accurately assess the needs and concerns of the students and other visitors and provide timely and efficient service. Provide step-by-step instructions to empower students to better utilize online self-service in navigating polies and processes of the university.
- Provide accurate, timely, and effective referrals to academic advisors within the Bronco Advising Center and/or Colleges as well as specialist staff in enrollment offices and other key campus departments, which will require maintaining cooperative working relationships with faculty, staff, and others.
- Follow up to ensure that the students' needs were met.
- Attend and participate in professional development training offered by the university and professional organizations. Maintain current knowledge of academic, admission, and registration policies and procedures.
- Utilize a holistic and integrated approach to build relationships with students.
Serve as a Student Success Coach for Undeclared Students
- Build relationships with students quickly to proactively work to improve student experience, engagement with coaching, and success.
- Build trusting relationships with a diverse student population by delivering personalized, constructive, engaging, motivating, and informative coaching sessions.
- Coach students on developing a plan to achieve their academic and career goals by assessing on values/goals, needs and obstacles. Be prepared and able to serve students in various modalities.
- Be able to work in a hybrid environment, align with the CPP Telecommuting Program principles and practices, and the specific Academic Affairs standards of excellence and divisional values.
College Advising Support
- Provide support to college advising centers when needed including when there are vacancies to ensure that the advising caseload model is maintained and students are receiving proactive and ongoing advising support.
- In alignment with the institution wide advising strategies, utilize a combination of high-level analytical and interpersonal skills as well as independent judgment when developing effective and creative solutions to student problems.
- Provide one-on-one, group, and online advising to a broad range of students including, but not limited to, freshmen through seniors in advisor's caseload, students who are in academic difficulty, CA Promise students, and/or students who have been identified, e.g. via early alerts or graduation initiatives, as needing interventions.
- Place and remove registration holds.
- Partner on early alerts strategies and interventions including advising campaigns, progress reports, success markers, and GI 2025 campaigns.
- Participate in Special Projects such as Summer Completion, student re-enrollment, etc.
- Develop and deploy resources and strategies that are specific to the College's students' needs.
A Promise / Graduation Pledge Programs Coordinator
- Under the guidance of the AVP for Strategic lnitiatives for Student Success and Director of University Advising, coordinate the Graduation and California Promise Pledge Programs, including targeted outreach activities to recruit potential students for the program, and reviewing student academic history to determine program admission eligibility.
- Determine level of services and other resources to be provided program participants.
- Maintain and update data, update promotional materials, maintain website, and facilitate the transition to the use of all online academic plans.
- Respond to in-person, over the telephone, and via online inquiries about the program.
- Track individual student progress, maintain master student database and website information, and provide timely and effective communication to college coordinators.
- Lead quarterly meetings of all coordinators.
- Recommend revisions to the program and, in collaboration with Interim Director of University Advising and AVP of Strategic Initiatives for Student Success, assist in planning and implementing changes and new program components.
- Maintain compliance with all Chancellor's Office mandates related to California Promise.
- Assist in special projects related to student success, retention and graduation and campus response to CSU initiatives.
- Contribute through recognition of specific program needs, modifications and growth based on utilization of assessment practices of data and statistics representing program and student needs.
- Assist in developing approaches for implementations of changes, new procedures and programs to meet these needs, and in planning appropriate assessment of needs and outcomes.
QUALIFICATIONS
- Bachelor's Degree - Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related. and
- DL NUMBER - Driver License, Valid and in State
- Possession of these knowledge and abilities is typically demonstrated through the equivalent of three (3) years of progressively responsible professional student services work experience.
- One (1) year in the program area to which assigned may be preferred but is not required.
- A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling.
- Thorough knowledge of the principles of individual and group behavior.
- General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
- Working knowledge of student services programs outside the program to which immediately assigned.
- Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student‑related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
PREFERRED QUALIFICATIONS
- Experience in academic advising, teaching, and/or counseling; experience working with low-income and diverse student populations; proficiency in Peoplesoft, and Microsoft applications.
- Strong verbal & written communication skills including phone and in-person, emails, texts, etc. Technology savvy.
- Demonstrated ability to work independently, meet deadlines, handle and prioritize simultaneous requests.
- Self-starter who advocates for him/herself.
- Excellent interpersonal communication skills.
- Creative and analytical thinker with strong problem-solving skills.

CSU Classification Salary Range
This position is part of the APC bargaining unit 4. The CSU Classification Standards for this position are located on the CSU Classification Standards website.The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $5,540 and maximum $7,893 per month. University Driving Requirement
Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Driver’s license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points, if their license is Class C or, 4. Not have more than 5 DMV Points, if their license is Class A, B, or C with endorsements.
