THE DEPARTMENT:

The Mobile and Web Applications unit is dedicated to designing, developing, and maintaining innovative digital solutions that support the campus community. From mobile apps and web platforms to dynamic websites and integrated information systems, the unit ensures accessibility, functionality, and user-focused experiences that align with the institution’s goals.

DUTIES AND RESPONSIBILITIES:

CRM Administration

  • Assist with the day-to-day maintenance and configuration of the CRM system under the guidance of senior staff.
  • Support the setup of user accounts and help maintain security settings and access permissions to ensure data accuracy and confidentiality. 
  • Work with team members to document user needs and help translate them into basic CRM tasks or updates.

Data Analysis and Reporting

  • Assist in collecting, organizing, and reviewing data related to student and academic performance under supervision.
  • Help prepare standard reports and dashboards using established templates to support departmental needs.
  • Support team efforts by identifying and documenting basic data discrepancies or trends that may inform process improvements.

System Enhancements and Integration

  • Collaborate with IT developers to implement customizations, enhancements, and integrations that extend the CRM system's capabilities.
  • Stay updated on CRM industry best practices and emerging technologies to recommend system upgrades and enhancements.

Project Coordination

  • Assist in the planning, execution, and coordination of CRM-related projects, including system upgrades, migrations, and new feature implementations.
  • Monitor project timelines, allocate resources, and ensure timely delivery of services.

Support and Training

  • Provide technical support and training to end-users, ensuring they can effectively utilize CRM features and functionalities.
  • Serve as a point of contact for troubleshooting and issue resolution, collaborating with IT support teams when necessary.

QUALIFICATIONS:

  • Combination - To enter this classification, a basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite. This foundation would normally be obtained through a bachelor’s degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study. Foundation knowledge and skills for the Information Technology Consultant, depending on the nature of the position assignment, may include working knowledge of common software application packages, equipment platforms, reference database systems and sources, and training methods and a basic understanding of networks, data communication, and multimedia systems.
  • Incumbents at this level meet the entry qualifications as defined by the individual classification. The incumbent may be inexperienced or have limited experience in the specific technical field, but usually possesses the general education, training, license or certification pertinent to the body of knowledge encompassed by the technical specialty. Typically, the incumbent works under direct supervision and is able to demonstrate a basic understanding of the standard principles and terminology associated with the technical specialty, address common problems of limited scope, and demonstrate work-ready communication skills.
  • Basic understanding of information systems and technology principles, particularly in relation to enterprise or business applications.
  • Familiarity with the general purpose and function of CRM systems (e.g., Salesforce, Slate, or similar), including how they support user engagement and data tracking.
  • Foundational knowledge of data organization, reporting, and basic analysis using tools such as Microsoft Excel or Data Query tools. 
  • Awareness of project coordination fundamentals, such as tracking timelines, managing tasks, and supporting documentation. 
  • Understanding of user support concepts, including troubleshooting steps, help desk practices, and communicating technical information clearly.
  • Willingness and ability to learn new technologies, software tools, and university systems through training and guided practice.
  • Ability to learn and apply new technologies, systems, and tools with guidance and supervision.
  • Strong attention to detail and ability to follow standard procedures for data entry, reporting, and documentation.
  • Effective written and verbal communication skills to interact professionally with technical and non-technical users.
  • Basic problem-solving skills and a willingness to escalate more complex issues appropriately.
  • Ability to manage time effectively and prioritize multiple tasks in a collaborative team environment.
  • Capacity to document processes, user needs, and system issues clearly and accurately.
  • Customer service orientation with a proactive and positive attitude toward supporting end users and team goals.

PREFERRED QUALIFICATIONS:

  • Experience working in a higher education environment
  • Exposure to or hands-on experience with CRM platforms
  • Familiarity with reporting tools or data visualization platforms
  • Understanding of data privacy, security, and accessibility standards
  • Demonstrated interest in technology solutions that improve student services, user experience, or institutional effectiveness.

Background Check

Cal Poly Pomona will make a conditional offer of employment to final job candidates, pending the satisfactory completion of a background check (including a criminal records check). CSU Classification Salary Range

This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $4,094 and maximum $7,881 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.

University Driving Requirement

Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Driver’s license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points, if their license is Class C or, 4. Not have more than 5 DMV Points, if their license is Class A, B, or C with endorsements.
