Position Summary

SDSU is seeking a highly organized and detail-oriented Administrative Support Coordinator to support the School of Communication. In this role, you’ll serve as a key administrative support partner, coordinating administrative, fiscal, and external engagement activities, supporting leadership, and ensuring smooth day-to-day operations.

Key Responsibilities

  • Faculty Administrative Support and Academic Personnel Transactions: Coordinate processes regarding faculty recruitment, Retention, Tenure, and Promotion (RTP), lecturer evaluation, appointment, reappointment, separation, workload, and related recordkeeping in accordance with university policies and confidentiality requirements.
  • Academic Program Support and Class Scheduling: Utilize SIMS-R, Astra, APPS Express, and related university systems to develop, maintain, and implement academic course schedules for the fall, spring, summer, and intersession terms; monitor enrollment demand, analyze course capacity, room utilization, WTU, assigned time, and instructional resource needs, and recommend operational solutions in coordination with the School Director, Enrollment Services, and other campus partners.
  • Office Administration Coordination: Coordinate daily clerical and administrative support functions for the School office, establishing and maintaining procedures, and providing lead work direction, training, and guidance to support staff and student assistants.
  • Budget and Fiscal Coordination: Monitor, reconcile, and track departmental, foundation, and special project fiscal activity; analyze budget data and prepare routine fiscal reports; and identify funding concerns, unusual expenditures, or variances to management.

Position Information

  • This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • This position is approved for one day of telecommuting with onsite work in San Diego.

Department Summary

The School of Communication is one of the largest and most dynamic academic units within the College of Professional Studies and Fine Arts at San Diego State University. Through innovative teaching, impactful research, and meaningful community engagement, the School prepares students to become effective communicators, leaders, advocates, and professionals in an increasingly complex and interconnected world.

The School offers undergraduate degree programs in Communication and Health Communication and a graduate program leading to the Master of Arts in Communication Studies. Faculty are actively engaged in scholarship, creative activities, and community-based initiatives that advance understanding of communication's role in addressing social issues, promoting health and well-being, fostering civic engagement, and strengthening organizations and communities.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications

  • Strong written and verbal communication skills, including the ability to draft correspondence, prepare reports, and communicate procedural information clearly and effectively.
  • Advanced proficiency with office productivity software, databases, enterprise systems, and technology used to support academic and administrative operations.
  • Ability to maintain accurate records, monitor workflow, coordinate administrative processes, and ensure compliance with established requirements and deadlines.
  • Ability to work independently with minimal supervision while contributing effectively as a collaborative member of a department and college administrative team.
  • Ability to provide high-quality customer service and serve as a resource for faculty, staff, students, and campus partners.
  • Experience providing administrative support within a higher education, academic, or similarly complex organizational environment.

Compensation:
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.

  • Initial step placement is not expected to exceed Step 1 ($4,367).
  • CSU Classification Salary Range: $4,367 – $6,362 per month (Step 1 – Step 20).
  • Future increases, including step advancements, are subject to contract negotiations.
  • Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
