This position is an Administrator I in the California State University Management Personnel Plan (MPP), reporting to the  Associate Director of Benefits, Leaves and Retirement.

Anticipated Hiring Range

$7,500.00 - $8,750.00 Per Month ($90,000.00 - $105,000.00 Annually)

Position Summary

Reporting to Associate Director of Benefits, Leaves and Retirement, the Assistant Director of Employee Accommodations (ADEA) is responsible for coordinating accommodations for employees with temporary or permanent disabilities and ensuring compliance with ADA, Section 504, FEHA, and other relevant laws. The ADEA manages accommodation plans, confidential records, and works closely with other University stakeholders.

The ADEA acts as a liaison, provides technical expertise, conducts research, assesses compliance, and leads training and initiatives to promote inclusion and disability awareness. Additionally, the ADEA supports the Associate Director and Sr. AVP for Human Resources with committee participation, process improvements, and report presentations.

This role also oversees the administration of employee leave requests, including medical, family, and disability-related leaves, ensuring compliance with federal and state laws like FMLA, ADA, and CSU policies. Responsibilities include reviewing medical documentation, coordinating with employees and healthcare providers, and maintaining accurate records.

Position Information

Employee Reasonable Accommodation Program Management

  • Communicate the availability and services of the Employee Accommodations Program.
  • Develop and distribute program information and applications.
  • Review and maintain confidential records, including medical documentation, to assess employee eligibility for accommodations.
  • Lead the interactive process between employees and employers to determine reasonable accommodations.
  • Develop and formalize accommodation plans, providing ongoing assistance and services.
  • Refer employees to Family Medical Leave, Workers Compensation, and other relevant programs.
  • Oversee student assistants and collaborate with key stakeholders to address emerging issues.
  • Ensure compliance with Collective Bargaining Agreements and explore cost-saving opportunities for accommodations.

Research & Data Collection

  • Conduct research, collect data, and analyze compliance with relevant laws (ADAA, Section 504, FEHA).
  • Provide updates, technical guidance, and recommendations to university leadership and the broader community.

Monitoring & Compliance

  • Perform audits and evaluations to ensure compliance with Title I ADAA, regulations, and best practices.
  • Prepare reports and assessments on legal compliance and program effectiveness.

Training & Advisory Committees

  • Collaborate with university departments to develop and implement training on accommodations for faculty, staff, and administrators.
  • Serve on various committees and project teams to support initiatives related to disability accommodations and compliance.

Leave Administration

  • Review and process employee leave requests, ensuring compliance with state and federal regulations (e.g., FMLA, CFRA).
  • Calculate leave accruals, maintain leave balances, and communicate policies and procedures to employees.
  • Manage the leave process, from initial requests to return-to-work procedures.

Disability Accommodation

  • Handle employee requests for accommodations and initiate the interactive process with employees and healthcare providers.
  • Coordinate with departments to implement accommodations, such as modified schedules or workplace modifications.
  • Maintain confidential disability records in compliance with ADA guidelines.

Policy Interpretation & Compliance

  • Stay updated on leave and accommodation policies and regulations, providing guidance to employees and managers.
  • Ensure compliance with ADA, FMLA, and CFRA, addressing complex situations and taking corrective action when necessary.

Communication & Collaboration

  • Partner with University Stakeholders and management to address complex leave and accommodation cases.
  • Provide training to managers and communicate effectively with employees regarding their leave and accommodation options.

Other Duties as Assigned

Minimum Qualifications

  • Bachelor's degree or equivalent in education and work experience. Minimum of five years of progressively responsible administrative, analytical, and clerical experience which involved problem-solving, explaining policies and procedures to others, and ensuring that daily administrative tasks of a program or office are completed in an accurate and timely manner.
  • Minimum of three (3) years of progressive responsibility in the development and management of programs and/or services, preferably for people from an underrepresented population (disability, gender, race, socio-economic, etc.)
  • Demonstrated, advanced knowledge and experience in the theory and successful application of: integrated disability management, job analysis, accommodations, organizational processes, and applicable state and federal disability laws and regulations (i.e., Americans with Disabilities Amendments Act (ADAA), Fair Employment and Housing Act (FEHA), Family Medical Leave Act (FMLA)
  • Demonstrated knowledge of the medical and psychosocial impact of various functional limitations and how they relate to a successful implementation of sustainable, reasonable accommodations
  • Demonstrated ability to independently, confidentially, and efficiently carry out complex assignments and/or communications without detailed instructions, to advise others individually or in groups on varied and complex matters, and to determine the appropriate course of action and proper techniques to use when engaged in personal interactions of a sensitive nature
  • Demonstrated knowledge of the broad spectrum of disabilities present in the general population and the corresponding reasonable accommodations available
  • Demonstrated ability to collect, evaluate, interpret and strategically communicate/present data at all levels and across organizational lines
  • Demonstrated ability to diplomatically, efficiently and effectively communicate with, negotiate with, persuade and influence, high-level and/or culturally and ethnically diverse audiences/clients inside and outside of organizations
  • Demonstrated excellence in customer service, public relations, communication and interpersonal skills
  • Demonstrated ability to handle multiple, changing, work priorities, organize and plan work and projects, and achieve excellence in a fast-paced, detailed-oriented, work environment
  • Demonstrated ability to quickly gain knowledge of, assess the applicability of, and strategically implement new and changing laws, policies, and practices
  • Demonstrated excellence in adopting and utilizing new and existing software applications, devices and hardware to identify, communicate and achieve strategic and day-to-day goals
  • Demonstrated ability to train and transfer knowledge to a complex and diverse organization on employment-related legal requirements and best practices

Preferred Qualifications

  • Master’s Degree in a related field, (i.e., Counseling, Rehabilitation Counseling, Clinical Psychology, Social Work)
  • Five (5) years of progressive responsibility in the development and management of programs and/or services, preferably with a focus on people with disabilities
  • Knowledge of California State University (CSU) policy on disability support and accommodations, and all related technical standards pertaining to these laws
  • Familiarity working with employees represented by collective bargaining agreements
