Anticipated Hiring Range

$7,917.00 - $8,334.00 Per Month ($95,004.00 - $100,008.00 Annually)

Position Summary

Reporting to the University Registrar, the Associate Registrar serves as a member of the Registrar’s Office leadership team and contributes to Enrollment Management initiatives supporting student success. The Associate Registrar provides leadership and operational oversight of Registrar systems, compliance functions, and core business processes supporting registration, academic records, and degree planner and audit systems.
 
The position provides direct leadership over teams responsible for registration and records systems, degree planner and audit systems, reporting and data functions, and compliance operations. In this role, the Associate Registrar makes and communicates decisions affecting areas of responsibility in alignment with the strategic direction of the Registrar’s Office and Enrollment Management. The position exercises independent judgment in the administration of systems and compliance functions and is accountable for ensuring the integrity, accuracy, and compliance of student academic records and related processes.
 
The Associate Registrar serves as a functional lead for Registrar systems and compliance operations, ensuring alignment between system configuration, business processes, and institutional policy. The position collaborates with campus partners to improve operational efficiency, support system enhancements, and ensure effective service delivery.

Position Information

Systems Leadership and Operational Oversight

Provides leadership and oversight of Registrar systems and business processes supporting registration, academic records, and enrollment-related functions. Responsible for ensuring system functionality, operational continuity, and alignment with institutional priorities.

• Oversees configuration, implementation, and ongoing management of business processes within the Student Information System (SIS) and related platforms

• Directs teams responsible for registration, grading, academic standing, and end-of-term processing

• Leads planning and execution of key operational cycles including term setup, enrollment processing, and graduation processing

• Ensures operational processes are efficient, documented, and aligned with university policy and best practices

• Identifies and implements system and process improvements to enhance service delivery

Degree Planner, Audit, and Curriculum Processes

Provides leadership and oversight of degree planner and audit systems to ensure accurate representation of curriculum requirements and student degree progress.

• Oversees configuration and maintenance of degree audit rules and planner tools

• Ensures alignment between system setup, university catalog, and academic program requirements

• Directs teams responsible for curriculum updates, degree progress tracking, and planner tools

• Collaborates with academic departments and campus partners to resolve discrepancies and improve system functionality

• Supports training and guidance to campus partners on degree audit processes and tools

Compliance, Reporting, and Regulatory Oversight

Provides oversight of compliance functions to ensure adherence to university, CSU, and federal and state regulations governing student records and enrollment processes.

• Oversees regulatory reporting to agencies including the Chancellor’s Office, National Student Clearinghouse, Department of Education, and Veterans Affairs

• Serves as primary point of contact for audits, reviews, and compliance-related inquiries

• Directs compliance monitoring, auditing, and quality assurance processes

• Ensures timely implementation of regulatory updates and policy changes

• Coordinates with campus partners to maintain institutional compliance

Data, Reporting, and Business Intelligence

Provides oversight of data and reporting functions supporting operational decision-making and institutional reporting.

• Oversees development and maintenance of queries, reports, and dashboards

• Ensures accuracy and integrity of student data through validation and audit processes

• Supports reporting needs for campus partners and external agencies

• Collaborates with Institutional Research and IT on data governance and reporting initiatives

Staff Leadership and Organizational Effectiveness

Provides leadership and supervision to staff supporting systems, compliance, and operational functions within the Registrar’s Office.

• Recruits, hires, trains, supervises, and evaluates staff

• Establishes priorities and ensures effective allocation of resources

• Promotes a culture of accountability, collaboration, and continuous improvement

• Provides leadership in resolving complex operational and student-related issues

Minimum Qualifications

• Bachelor’s degree in Higher Education Administration, Student Affairs, Public Administration, Business Administration, or a related field

• Minimum of four (4) to five (5) years of progressively responsible professional experience in a Registrar’s Office, Enrollment Management, or closely related higher education environment

• Experience working with a Student Information System (SIS) such as PeopleSoft / Oracle Campus Solutions or similar

• Demonstrated experience interpreting and applying academic policies, procedures, and regulatory requirements (e.g., FERPA)

• Experience managing or overseeing complex operational processes or systems in a higher education setting

Preferred Qualifications

• Master’s degree in Higher Education Administration, Student Affairs, Public Administration, or a related field

• Experience within the CSU system or a public higher education environment

• Experience with degree audit systems configuration (e.g., DPR, uAchieve, or similar)

• Experience with data reporting, query development, or business intelligence tools

• Experience managing compliance reporting or external regulatory submissions

• Experience supporting or leading system implementations, upgrades, or integrations

• Experience leading cross-functional initiatives or projects

• Experience configuring or encoding degree audits within a Student Information System
