Anticipated Hiring Range

$5,195.00 - $5,736.00 Per Month ($62,340.00 - $68,832.00 Annually)

Salary is commensurate with experience.

Position Summary

The Senior Admin Coordinator is responsible for working with the Associate Vice President of Alumni Relations & University Engagement and the Director of Annual giving to develop and implement initiatives to identify, cultivate, and solicit prospective donors to ensure a strong base of ongoing financial support for the University from individuals, alumni, and our general community. The Senior Admin Coordinator supports the Annual Giving and Alumni Relations teams by coordinating event details and sponsorship fulfillment. The coordinator will support gift processing, maintain donor records, and assist with donor relations as related to Alumni Relations, Annual Giving and the University as a whole.

Position Information

Alumni/Donor Engagement and Annual Giving Support

  • Under the direction of the Director of Annual Giving, execute coordinated communication and solicitation strategies involving email, direct mail, phone and social media all focused on increasing baseline levels of annual support for the University.
  • Contribute to the creation of a strategic plan for the annual fund, including direct marketing strategies, solicitation schedules, and direct reach outs.
  • Partner with the Annual Giving, Alumni Relations and Events to create messages, themes, and materials for Annual Giving, University Events and Alumni Relations that are in compliance with the SF State’s brand.
  • Participate in Alumni Relations’ efforts and activities to creating meaningful engagement and giving opportunities for Alumni.
  • Lead communication, answer questions, and help assist student groups with Giving Day with their promotion, page creation and publishing, adhering to guidelines, etc.
  • Serve as a primary contact for alumni and donor inquiries related to annual giving and stewardship, route inquiries as appropriate. Answer questions and respond to needs in a timely manner.
  • Create Alumni Association membership materials and send to alumni members in a timely manner. This included facilitating forwarding email addresses for Alumni Association members by working with IT.
  • Manage the Scoreboard Message sales program as part of the Commencement ceremony held annually at Oracle Park. Donations to this program fall within the scope of Annual Giving.

Event/Project Coordination

  • Help planning for events by utilizing Blackbaud donor software to create event registrations, track guest lists, and maintain key information related to guests.
  • Occasionally help prepare event materials such as programs, signs, banners, apparel and other event related items.
  • Lead project coordination for annual giving projects between departments, including proof steps for courtesy review, when applicable, and update project management software for campaign readiness.
  • Utilizing GiveCampus (or similar) create “Giving Day” donation pages.

Reporting and Data Analysis

  • Assist the Director of Annual Giving with data and reporting, including generating and analyzing campaign performance, end of fiscal year summaries, and audience segmentation metrics, to support data-driven decision making.
  • Enter, evaluate, and report data for the ongoing evaluation of annual fund programs using Blackbaud.
  • Utilize LiveAlumni to analyze Alumni statistics.
  • Under the direction of the Director of Annual Giving create a post-Giving Day report analyzing year over year statistics.
  • Help to pull data required for the annual DonorCentrics evaluation of the SFSU Annual Giving Program.

Administrative

  • Coordinate the purchasing activities and oversee the accounts payable transactions to ensure invoices are paid and claims are reimbursed.
  • Serve as a liaison with vendors, including working cooperatively with other departments to ensure the contracts are executed promptly and the required documentations for special events are filed properly.
  • Provide assistance on scheduling, calendaring and making travel arrangements.

Minimum Qualifications

  • Working knowledge and understanding of advancement principles and current best practices. 
  • Demonstrates competence in independently applying judgment to resolve non-standard problems and issues. Includes interpretation of applicable regulations, standards, and guidelines. 
  • Strong analytical and organizational skills to plan, organize, prioritize, and ensure the successful completion of fundraising campaigns or events within time and budget constraints.
  • Strong communications and interpersonal skills to effectively coordinate multiple stakeholder relationships and guide the development of appropriate fundraising and promotional materials. 
  • Ability to effectively lead and train others.
  • Knowledge of event planning, fundraising, budgeting, and accounting principles and processes.
  • Proficiency in using advancement or donor management software and financial systems.

Preferred Qualifications

  • Capability to work both independently and within a team.
  • Ability to think creatively with openness to new ideas and their implementation.
  • Ability to manage multiple projects, demonstrate a high level of energy, operate in an organized manner, and have a reputation for accepting and meeting challenges.
  • Minimum 2 years of experience in higher education annual giving.
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures.
  • An appreciation for and ability to articulate the values of the University.

Environmental/Physical/Special

Be available to attend University and Alumni events including occasional nights and weekends.
