The Administrative and Operations Coordinator provides comprehensive administrative, operational, financial, and project support to the University Honors Program which supports 1300 undergraduate students. This position serves as a central resource for office operations, budget and purchasing processes, HR and personnel transactions, event and program logistics, communications, and strategic initiatives. The coordinator works closely with six full-time and part-time Honors staff as well as university faculty, staff, students, alumni, prospective students, and external partners to ensure efficient operations and exceptional service. The position requires strong organizational skills, attention to detail, discretion with confidential information, and the ability to manage multiple priorities simultaneously. The coordinator fosters a welcoming and inclusive environment while supporting the mission and goals of the units served.

Minimum Qualifications:

-Associates degree or at least 45 hours of college coursework
-Two years of work experience in student services or administrative setting
-Ability to work in person during work hours (M-F 8:30 AM to 4:30 PM) is an essential function of the position
-Ability to maintain confidentiality of information and records
-Effective written and verbal English communication skills
-Effective organizational skills and attention to detail
-Experience with budget tracking, purchasing, or financial processes
-Effective computer skills (Microsoft Office and Google Workspace)

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

-Bachelor's Degree
-Five years of experience in student services or administrative setting or higher education
-Experience bookkeeping, budgeting or accounting
-Experience with Banner, Cognos, Runway, or other university systems
-Experience processing HR transactions and personnel forms
-Experience with event planning and project management
-Excellent written and verbal English communication skills
-Demonstrated ability to prioritize and multitask when coordinating activities and meet deadlines with minimal to no supervision
-Demonstrated experience communicating effectively, developing and maintaining relationships with persons at all levels within and external to the university
-Demonstrated attention to detail
-Demonstrated experience providing inclusive, effective and responsive customer service to constituents
-Knowledge of and sensitivity to a Catholic Marianist work environment
-Ability to work flexible hours as needed
