Position Summary:       

The person will be working 75% for Disability Services, 25% for Student Life, Dean of Students, Residence Life, and Student Academic Success offices.

The goal of Disability Services is to transition to electronic files. Converting current paper files to the new format will be included in the position.

Contacting professors/students regarding exams, obtaining exams, proctoring, and returning exams to professors (during regular working hours) is an integral part of the position.

Position Responsibilities:

  • Coordinate office workflow.
  • Manage incoming and outgoing communications including mail, email, phone calls, and Social Media Accounts.
  • Uses discretion as to what non-routine correspondence or postings can be answered without the Supervisor’s prior review.
  • If the final product requires the Supervisor’s approval, prepares/drafts all relevant information and correspondence for review.
  • Prepare and type all correspondence and required forms (i.e. payroll, personnel, work orders, financial forms, purchase orders, petty cash vouchers, and reimbursement forms for business expenses).
  • Assist callers, visitors, and students. Use independent judgment as to what information can be given based on policies and procedures that relate to the organization and department.
  • Communicate directly with individuals and groups, both internal and external to the university, exercising independent judgment on non-routine matters requiring knowledge and interpretation of policy, under limited supervision.
  • Use judgment and initiative in performing varied clerical and secretarial duties requiring a knowledge and understanding of the organization, programs, and procedures related to the work of the Supervisor.
  • Maintain supervisors’ and department’s calendars, and schedule appointments and meetings, including departmental training.
  • Make all necessary arrangements and logistics for meetings and events (i.e. travel, equipment, food, AV, etc.)
  • Assemble necessary background material for scheduled meetings and events.
  • Set up and maintain complex filing systems, including electronic filing systems, using the Department’s systems.
  • Act as liaison between the Supervisor and all others within and outside of the department.
  • Make arrangements for new department hires (i.e. communicating with HR, IT, Facilities, etc.)
  • Assist the Supervisor with the departmental budget by maintaining and monitoring expenditures using University Systems and notifying the Supervisor of payments.
  • Manage and order supplies and equipment as needed.
  • Research, maintain, and assemble data for reports. Prepare final reports (i.e. budgets and grants).
  • Use judgment and initiative in performing varied duties requiring a knowledge and understanding of the organization’s programs and procedures related to the work of the Supervisor.
  • Revise and make recommendations for new office procedures.
  • Use independent judgment in responding to inquiries regarding policies, procedures, and regulations based on a thorough knowledge of departmental and university policy.
  • Perform other related duties as assigned, such as proctoring, when needed. (Disability Offices only)
  • Take minutes at meetings and transcribe notes from meetings. (Where applicable)
  • Assemble data and prepare grant applications and budgets. (Where applicable)
  • Maintain the department’s vacation schedule. (Where applicable)

Experience & Educational Background:

  • High School Diploma 
  • A minimum of five years of secretarial experience is required.
  • Two years of college preferred.

Skills & Competencies:

  • Highly organized with attention to detail and accuracy.
  • Excellent communication and interpersonal skills
    Microsoft Office Suite, Outlook, Adobe.
  • Ability to work independently and as a member of a collaborative team.
  • Ability to manage a busy workload.
  • Excellent typing and data entry.
  • Available to work occasional overtime, including occasional weekends and evenings.

Salary Range:

Salary Range: Grade 7 

1199 New Hire rate: $ 27.57 and 1199 One Year of Service rate $28.13
