Position Summary: |
Will provide general senior-level support to the Dean and the Office of the Dean. The incumbent will be required to interact with external contacts. May receive and screen communications, including telephone calls and e-mail messages, and provide assistance/response using independent judgment to determine those requiring priority attention and/or directing inquiries completely and appropriately.

Position Responsibilities: |
- Provides primary office coverage and first point of contact.
- Effectively and efficiently performs “triage” of incoming contacts, prioritizing items of urgency, identifying parties who handle the issue/problem/concern, making timely referrals, and ensuring follow-up.
- Serves as the primary point of contact in managing correspondence, mailings, scheduling appointments, answering and screening phone calls, and regular/recurring projects.
- Provides support and works with other members of the office of staff in providing a proactive and responsive service team, responding to the needs of faculty, students and staff.
- Provides administrative support in preparation of meetings materials
- Makes travel arrangements as directed, ensuring efficient and cost-effective options are considered.
- Handles confidential information which would have a negative impact on the University’s operations, performance, or value if shared beyond its intended audience.
- Coordinates and executives special projects.
- Takes initiative to refer questions and requests to the most appropriate department or school.
- Coordinates a wide variety of projects and follows through with high-level officials within and outside the organization.
- Manages all necessary Banner system needs including, but not limited to job posting and recruiting, hiring processes, onboarding new faculty, purchasing, and reports.

Experience & Education Background: |
- Bachelor’s Degree and 3 - 5 years’ general administrative and office experience.
- 3-4 years’ experience working in an executive environment, exercising independence and skill in self-managing priorities and ensuring the office and resources are supporting the executives.
- Demonstrated success in working collaboratively and as part of an effective team in meeting the needs of the executive(s) and the organization.
- Work in an educational, clinical, or senior executive environment a plus.

- Must demonstrate superior interpersonal communication skills as well as excellent public speaking and writing skills to effectively represent the Provost and the University to all internal and external constituents; demonstrated political acumen and sensitivity. Will be required to generate correspondence on behalf of the Provost.
- Demonstrate full accountability and follow through to ensure all faculty, students and staff receive complete responses or service when dealing with the Office of Academic Affairs.
- Must excel in all MS Office applications including MS Outlook, Word, Excel, Teams and PowerPoint and the Banner System.
