Position Summary:

We are seeking a detail-oriented and organized individual to join our team as a University Onboarding Coordinator. This role is responsible for managing the onboarding process for new hires across various departments within the university, including student employees, faculty, and staff.

The Onboarding Coordinator will oversee the completion of I-9 forms, review background screening results, ensure completion of required trainings, update the Banner database with accurate employee information, and serve as the primary point of contact for all onboarding questions.

The ideal candidate will possess strong administrative skills, excellent attention to detail, and a commitment to providing exceptional support to new hires as they integrate into the university community.

Position Responsibilities:  Employee Onboarding:
  • Serve as the primary point of contact for all new hires regarding onboarding procedures, policies, and paperwork.
  • Address inquiries and concerns from new hires promptly and professionally, providing guidance and assistance as needed.
  • Assist in onboarding for all staff, faculty and student employees.
  • Review background checks, approve I-9s and send employee information to HRIS.
  • Ensure timely completion of Form I-9s for all new hires, verifying employment eligibility and documentation in accordance with federal regulations. Assist in I-9 reverifications.
  • Coordinate with third-party vendors to initiate background checks for new hires. Review background screening results to identify any red flags or discrepancies that require further investigation.
  • Monitor and track completion of required trainings and certifications for new hires, including safety, compliance, and job-specific training programs.
Recruiting Support:
  • Post positions on our career site and external job boards
  • Oversee coordination of staff interview ensuring a positive candidate experience
  • Administer pre-employment assessments as needed.
  • Perform reference checks and help prepare offer letters
  • Help prepare for new hire orientation
  • Track temporary employees and assist in tasks related to agency temps
  • Enter and update employee information in the Banner database, and collaborate with HR colleagues to ensure accuracy and integrity of employee data.
  • Assist with audits as needed
  • Assists with preparation for appropriate career fairs befitting our client population
  • Maintain Union Priority list if needed

General HR Support:

  • Foster productive employee relations, acting as the point person for questions and requests and answer communications with a cheerful attitude, projecting a positive image.
  • Answer general calls into the HR department, providing information and assistance to employees and external stakeholders as needed. Direct inquiries to appropriate staff members or departments for further assistance.
  • Maintain digital and on-site employee files ensuring security and confidentiality.
  • Posts content on the HR website
  • Assist in training HR Student Intern in our procedures.
  • May also provide backup administrative support for the department: ordering supplies for the department, preparing purchase orders, distribution of department mail and faxes, assist in HR events, etc.
  • Other related duties as assigned
Experience & Education Background:
  • Bachelor's degree in Human Resources, Business Administration, or related field preferred
  • Proven experience in a similar role, with a strong understanding of employee onboarding processes and best practices.
Skills & Competencies:
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to build relationships and work effectively with individuals at all levels of the organization.
  • Attention to detail and a commitment to accuracy, particularly when dealing with paperwork and documentation.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and experience with HRIS and onboarding software preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude, willingness to learn, and a genuine desire to help others succeed.
Salary Range: $27.50 - $32.15 per hour
