Position Summary:
|
The Coordinator for Communications and Administration (CCA) supports the Wurzweiler School of Social Work (WSSW) through essential communications, marketing, and administrative functions. Primary responsibilities include assisting with content creation, outreach, website updates, and continuing education communications. The CCA also supports HR onboarding, academic scheduling, event coordination, and daily school operations. Reporting to the Executive Director of Administration and Instructor, MSW Program, the CCA’s role enhances the School’s communications presence while supporting operational efficiency across multiple programs, faculty, staff, and students.

Position Responsibilities:
|
Communications Support
Marketing and Outreach
- Assist the Online Education and Communication Specialist (OECS) with creating and publishing content for the WSSW Newsletter, blog, and social media, including event summaries and student features.
- Coordinate with the OECS to conduct outreach with students, faculty, staff, and external partners to collect content for WSSW communications and outreach initiatives.
- Compile and post social work employment opportunities and relevant job fairs under the direction of the EDA.
- Coordinate with EDA and OECS for website review and updates as needed.
Continuing Education (CE) Events
- Assist the CE program director with initial setup events, including submitting financial approval forms
- Support CE online events, including Zoom setup, breakout room monitoring, and audience support.
- Manage inquiries from the WSSWCES and WSSWEvents mailboxes and provide Zoom links and event updates.
- Prepare CE certificate lists and assist with registration and attendance tracking.
- Assist with in-person events registration and sign-in for events, compile and arrange gift bags/swag, and provide day-of-event logistics support.
Professional CE - Post CASAC Certification Program
- Market and outreach to potential sites to market the Post CASAC program and track sites
- Communicate with potential students via email
- Assist with student applications for Post CASAC in Canvas
- Proactively reach out to students to send welcome emails and program requirements
- Troubleshoot with potential and current post-graduate and post-MSW students
- Send classes and rates to potential students
- Assist with setting up students in Canvas
- Maintain and organize files, including invoices and acceptance letters, and update tracking sheets
- Organize and send files to 1199 for the CPT scholarship
- Coordinate with internal departments, including the EDA and the Director of the CASAC Program
Administration Support
Human Resources and Academic Program Support
- Assist with and oversee onboarding of student hires.
- Track and follow up on onboarding status of all new hires to ensure timely completion of HR requirements.
- Prepare EPAFs and draft appointment letters for review by the EDA.
- Distribute approved appointment letters and track for returned signatures.
- Upload current and past signed appointment letters to BDMS for electronic recordkeeping.
- Assist with updating course schedules on spreadsheets and the school website.
- Create and maintain a contact list of assigned teaching faculty for all programs each semester.
- Maintain and update internal faculty and staff email listservs.
- Assist with updates and changes in scheduling or HR processes as assigned by the EDA.
Academic Operations Assistance
- Provide support for academic and student operations, including graduation logistics, student compliance tracking, and special projects as needed.
- Support graduation activities, including inquiries, attire, and ticket distribution, and event assistance
- Assist with maintaining inventories of event materials and swag supplies for student programs and outreach activities
- Assist with student ID card inquiries, mailing, and other administrative tasks that support academic operations
- Assist with reconciling P-Card charges
- Assist with vendor/speaker payments, purchasing orders, reimbursements, and travel arrangements
- Other duties as assigned.

Experience & Educational Background:
|
- Bachelor’s degree required, Master’s degree in marketing, business administration, communications, or a related field preferred
- 2–3 years of administrative, academic, or communications support experience in higher education or a comparable office environment

Skills & Competencies:
|
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to learn and navigate university systems (Banner, Canvas, Salesforce Marketing Cloud).
- Experience managing email inboxes, tracking spreadsheets, and preparing reports.
- Comfortable assisting with website updates and social media posting.
- Ability to collaborate effectively with faculty, staff, students, and external partners.
- Professional demeanor, reliability, and must maintain confidentiality

Salary Range:
|
$35.16 – $36.44 per hour
