This is a Full-Time Administrative position at grade 13, with an annual salary range of $47,571 to $63,428. The salary offer will be based on education and experience, in alignment with the College’s compensation philosophy and the current Collective Bargaining Agreement (CBA), if applicable.

Job Summary:
|
An employee in this classification provides essential administrative support to the Chief Community and Government Relations Officer (CCGO) and assists in community engagement efforts. This role involves building and maintaining effective relationships with executive-level stakeholders, including legislators at municipal, county, state, and federal levels, which are vital to the success of Community College District 509. It is ideal for someone looking to grow into a more external-facing role while initially focusing on clerical and logistical tasks that support outreach, advocacy, and partnerships. Key responsibilities include scheduling, event coordination, managing correspondence, representing ECC at events, and supporting strategic initiatives to enhance the college’s presence. Direction is receved from the Chief Community and Government Relations Officer.

Required Knowledge, Skills & Abilities:
|
- Associate’s degree.
- Minimum of three years of progressively responsible administrative support experience. Exposure to community engagement, public relations, outreach, and/or government relations.
- Strong organizational skills and attention to detail. Excellent written, oral, and presentation communication skills.
- Ability to interact with all levels of the college, community, and constituents. Ability to develop a solid network of executive-level contacts.
- Proficient in MS Office programs and familiar with Google Suite and other web applications.
- Ability to maintain confidential information and exhibit the highest level of ethical and professional behavior.
- Ability to work a flexible schedule, including days, evenings, and weekends as needed by the department.

Desired Knowledge, Skills & Abilities:
|
- Bachelor’s degree.
- Experience in higher education.
- Familiarity with District 509 community leadership and state/federal legislators.
- Bilingual (Spanish/English) speaker.

Essential Duties:
|
- Assist with meeting preparation and follow-up, including scheduling, room setup, and taking minutes. Order office supplies and maintain inventory. Process various paper or electronic forms. Collect required documentation and maintain filing systems. Greet guests and answer basic inquiries via email and phone. Handle emergent issues as they arise.
- Identify, update, and maintain a database of influential community leaders and legislators within Community College District 509.
- Maintain detailed records and files on community engagement and legislative affairs activities. Organize, format, and prepare reports and plans. Coordinate the distribution of reports efficiently and cost-effectively.
- Stay informed of key programs and initiatives at ECC. Represent ECC at strategic external meetings and events. Assist with presentations and information updates to targeted groups. Answer community questions diplomatically and professionally. Alert internal audiences to issues and follow up as needed. Attend events with or in the absence of the CCGO.
- Assist with the college’s legislative affairs at municipal, county, state, and federal levels. Coordinate annual state and federal agendas, legislative meet-and-greets, lobby days, and other activities. Keep the CCGO informed of funding opportunities, important legislation, and advocacy opportunities. Strengthen the college’s government relations program.
- Support planning and coordination of events targeting District 509 stakeholders. Engage with community stakeholder groups using marketing, communication, and event-based tactics.
- Maintain organized records of community engagement activities, legislative tracking, stakeholder contacts, and campus-wide outreach efforts. Update the system throughout the year and recommend additional communications with community leaders.
- Serve on internal boards and committees, such as the Crisis Team. Stay informed of internal stakeholder activities that may impact community relations.
