Work Schedule:

Monday - Friday: 2:30pm - 11:00 pm

Rate of Pay:

This position is a grade 11 with a minimum of $33,000 and a mid-point of $44,000. Salary offer will be commensurate with the education/experience, in alignment with the College’s compensation philosophy, and the current CBA, if applicable.

Job Summary:

An employee in this classification performs work of routine difficulty by providing administrative support to the department. Work is distinguished by the ability to serve as the public safety answering point of contact for all emergency services and handle confidential emergency communications for the police officers.  General supervision is received by the assigned manager.

Required Knowledge, Skills & Abilities:

  1. High school diploma or general education degree (GED) with a minimum of 5 years of administrative assistant experience; or equivalent combination of education and/or experience.
  2. Certification in LEADS and LEADS2000, or the ability to become certified upon hire and maintain annual certification.
  3. Working knowledge of in Microsoft Office software (Word, Excel and Outlook) and use of the Internet. 
  4. Considerable skills in customer service.
  5. Considerable skill in organizing work to meet established deadlines while maintaining attention to detail.
  6. Working skill in interpersonal interaction to be applied to a variety of individuals with differing education, ethnic and socio-economic backgrounds.
  7. Working skills in verbal and written communication.
  8. Working skill in operating a personal computer, applicable software and peripheral equipment as well as learning and adapting to new and updated programs and technology.
  9. Must be available to work a flexible schedule, including evenings and weekends when required by the department’s needs.

Desired Knowledge, Skills & Abilities:

  1. Previous experience as an emergency Tele-communicator or law enforcement records is preferred.

Essential Duties:

  1. The AA serves as the emergency answering point for the campus police. They have to take the information and relay to the officers via radio. They coordinate with the Elgin 911 center for fire/medical emergencies. They track officer location and activity via radio traffic for safety. They monitor CCTV cameras and have a detailed knowledge of campus locations to link the call information with the camera to provide real time information to the officers. They are trained to use the ECC mass notification system in broadcast messages as well as RAVE alerts. The AA conducts records searches using specific law enforcement software at the direction of officers. These searches require interpretation to ensure accuracy (for example, to determine if an arrest warrant is for a specific person). Certify annually on LEADS and serve as assistant LEADS coordinator. The AA must have a thorough knowledge of police operations and procedures.
  2. The AA answers the department phone and general police email address. They answer questions and make the appropriate referral for the appropriate police response or other college division. They have a thorough knowledge of Colleague and use the program. They compose general correspondence in response to requests for the police department. Sort and distribute the daily mail. Monitor stock levels and purchase office supplies for the department staff.  Process and issue staff parking permits. Maintain vehicle service records and schedule repairs and maintenance when necessary. Track college events and activities for general police awareness. Prepare departmental forms and publications.
  3. Generate requisitions for departmental purchases and manage tracking of departmental
  4. Budget balances, general ledger accounts, expenses, corrections, etc. Generate all budget reports for the Chief of Police. Process Security Coverage invoices for extra police coverage. Process and submit all invoices for payment.
  5. Process parking tickets via LEADS and post restrictions on Colleague. Work with Student Accounts to ensure proper payment and tracking of the tickets. Create and maintain officer activity logs and Clery mandated Daily Crime Log. File and maintain police reports. Respond to subpoenas and court orders for records information. Perform court ordered expungements. Create, monitor, and disseminate Critical Reach law enforcement bulletins.
  6. Generate monthly reports for Uniform Crime Reporting as well as Clery. Process crash reports and transmit to IDOT. Report biased based profiling data based on traffic stops and pedestrian stops. Submit sex offender registration information to the Illinois State Police. Process citations and criminal charges for transmittal to the Circuit Clerk.
  7. Maintains required training, licensure and/or certifications
  8. Maintains confidentiality of privileged information and adheres to applicable privacy laws
  9. Demonstrates sensitivity, understanding and respect of diverse populations within the workplace.
  10. Maintains an understanding of the work of colleagues to effectively provide backup and/or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.
  11. Adheres to department guidelines for attendance and punctuality

  1. Maintain a working knowledge of the College’s available facilities, resources and services.
  2. Perform other job-related duties as assigned which pertain to the job description.
  3. Ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.
