JOB TITLE: PART-TIME OFFICE ASSISTANT – HIGH SCHOOL PROGRAMS DEPARTMENT: TECHNICAL EDUCATION
SALARY RANGE: $14.00-$15.50 FLSA: NONEXEMPT
IMMEDIATE SUPERVISOR: College Director High School Programs
SCHEDULE DETAILS: Part-Time/as needed (19.5 hours weekly, 8:00 a.m. - 4:30 p.m.- hours may vary)
Position Summary
The Part Time Office Assistant is responsible for maintaining, performing, and assisting with a variety of clerical duties to support the High School Programs staff and stakeholders in the day-to-day operations.
Essential Job Duties
- Perform receptionist tasks, answers the telephone, greets students, employees, and visitors, and direct them to the appropriate office or person.
- Maintain a pleasant and positive attitude toward all students, faculty, staff & visitors.
- Assist with stocking and ordering supplies and materials.
- Coordinate event planning services (i.e open house, student recruitment site visits).
- Coordinate field trip transportation.
- Assist with staff travel arrangements.
- Assist in application management (application submission support and application processing).
- Assist with incoming mail and deliveries to faculty and staff.
- Demonstrate professional conduct, positive attitude, and supportive culture.
- Exercise initiative and assesses workload, prioritize workflow, and use independent judgement.
- Maintain confidentiality of students, parents/guardians, and fellow staff members, as well as records and all information.
- Oversee student attendance reporting and communication.
- Coordinate the communication of mid-term and final grade reporting.
- Exhibit exemplary attendance and punctuality.
- Comply with college policies and procedures.
- Perform other duties as assigned (i.e. attending college functions, serving on committees and attending community events).
Required Knowledge, Skills & Abilities
- High School Diploma or equivalent.
- Proficient in Microsoft Office Suite.
- Prior customer service experience and working with the public.
- Ability to work well with others.
- Strong oral and written communication skills.
- Ability to use information technology for professional productivity.
Preferred Knowledge Skills & Abilities
- Associate’s degree from a regionally accredited institution of higher learning.
- Experience with Colleague.
- Experience working within a collegiate setting.
- National Career Readiness Certificate.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions. Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel.
Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
