Position Summary/Job Duties:

Office Administrator

Congregation Shaarei Shamayim, a progressive Jewish synagogue in Madison, Wisconsin, seeks an Office Administrator to join our growing congregation. The position is 20 hours per week.

We are seeking an individual with strong organizational, administrative, and interpersonal skills to work with our Rabbi and Community Engagement Director, as well as the membership. Successful candidates will have administrative experience, are fluent in digital workplace tools currently in use and can engage effectively with members on a variety of communications platforms.

PRIMARY RESPONSIBILITIES

The office administrator is responsible for a range of administrative tasks in our office, such as general communications, administrative support for events and meetings, managing incoming and outgoing mail, bank deposits and organization of the congregation’s calendar. Specific duties include:

-Maintain database and Constant Contact lists
-Process donations and print thank you notes in a timely fashion
-Maintain congregational files
-Handle expense reimbursements
-Coordinate facility use with First Unitarian Society
-Primary contact with Bookkeeper, providing billing and income information
-Maintaining spending within budgeted amounts
-Order office supplies and items needed for events
-Maintain a positive relationship with vendors and community partners- Keep the office tidy, clean, and well-organized
- Respond to inquiries over email and telephone
- Provide meeting support: schedule meetings; create Zoom links for meetings; send reminders for meetings and groups; prepare recordings for distribution
- Prepare mailings: occasional newsletters and regular member correspondence
- Errands: pick up mail at the post office; deposit checks at the bank; drop off checks to be signed
-Driver’s license and regular access to a vehicle is required, as is ability to lift 50 lbs for occasional moving of supplies
- Maintain office and congregational calendar
- Administrative support for the children’s education program, which includes scheduling and organizing supplies

AN IDEAL CANDIDATE WILL HAVE:

- High school diploma required
-Bachelor’s Degree or commensurate professional experience preferred
- Two or more years’ experience in an office setting.
- Strong digital workplace skills including expertise with Microsoft Office, Google Drive, Constant Contact, Zoom, website and database experience and ability to quickly learn new technologies as needed.
- Experience handling confidential information appropriately.
- Time-management skills, with the ability to prioritize tasks.
- Ability to work independently and collaboratively, with deadlines and while managing multiple tasks.
- Experience with or interest in learning about Jewish customs, culture, and practices.
- Experience working effectively with people of diverse races and ethnicities, age, socio-economic backgrounds, abilities/disabilities and chronic illness, and gender and sexual identity.
- Live in the Madison area with the ability to easily commute to the office at least 50% of the time

ADDITIONAL INFORMATION

This position reports to the Rabbi and works closely with the Community Engagement Director. This is a hybrid work environment with at least 50% of work at the physical office. Applicants need not be Jewish.

COMPENSATION AND BENEFITS

$20-23 per hour
Paid Time Off prorate for part time

Physical demands are incidental though occasionally moving supplies up to 50 lbs may be necessary
