Department Overview:

We are a Fear-Free accredited practice dedicated to providing compassionate, low-stress care for pets and their families. Our close-knit team of 20 staff members, including 5 veterinarians, values teamwork, support, and a positive workplace culture. We love celebrating birthdays together, keeping the clinic stocked with free coffee and snacks, and helping our team care for their own pets through discounted veterinary services. Position Summary/Job Duties:

Do you love animals and enjoy providing excellent customer service? Join our dedicated team as a Veterinary Receptionist / Client Service Representative (CSR) and help create a welcoming, stress-free experience for pets and their people.

? Key Responsibilities:

Client Communication

  • Greet clients and pets warmly—by name when possible

  • Answer phones promptly and professionally

  • Schedule appointments accurately by phone, email, and our pet portal

  • Provide clear pre-visit instructions (e.g., medication reminders)

  • Redirect all medical questions to the appropriate veterinary staff

  • Confirm appointments the day prior

Monetary Tasks

  • Perform daily opening/closing procedures

  • Accurately enter charges and process transactions for products and services

Patient Care Support

  • Maintain a calm, fear-free lobby experience for pets

  • Record pet weights and check in patients via software

  • Notify team members of patient arrivals

Cleaning & Facility Care

  • Keep the reception area clean, odor-free, and well-organized

  • Assist in room cleanup between appointments if needed

  • Stay proactive during slower times with the clinic task list

Physical Requirements

  • Ability to sit for extended periods

  • Lift and carry up to 30 lbs with proper form

Professional Expectations

  • Present yourself with empathy, professionalism, and respect

  • Communicate clearly and courteously with clients and coworkers

  • Be punctual, reliable, and a collaborative team member

✅ Ideal Candidate:

  • Previous customer service experience (vet clinic experience is a plus!)

  • Comfortable with multi-line phone systems and scheduling software

  • Passion for animals and helping others

  • Positive attitude, strong communication skills, and a team-first mindset

Qualifications:

The ideal candidate is dependable, professional, and compassionate, with strong communication and customer service skills. Veterinary clinic experience is a plus, but not required. Applicants should be comfortable using multi-line phone systems and scheduling software, enjoy working with both people and animals, and thrive in a team-oriented environment. Candidates should also be punctual, reliable, able to sit for extended periods, and capable of lifting and carrying up to 30 pounds safely.
